Job summary

GFL Environmental Inc. in Vaughan, ON is seeking an HR Data Coordinator to join our team. This role focuses on entering, processing and auditing sensitive HRIS data while driving efficiency through technology and reporting.

You will support onboarding, ensure data accuracy, and partner with HR Operations to assist with process improvements. A Bachelor’s degree and 1–2 years in an admin role are preferred, with strong MS Office and familiarity with Workday.

  • Bachelor’s degree (or equivalent experience) paired with 1–2 years in an administrative role supporting multiple managers.
  • Strong Microsoft Office skills, with a preferred background or familiarity in Workday.
  • Exceptionally detail-oriented with organizational skills to work independently.
  • Adaptability & multi-tasking in a fast-paced environment.
  • Excellent verbal communication, phone etiquette, and customer service.

Responsibilities

  • Enter, process and audit sensitive HRIS data and maximize technological capabilities to reduce manual processes.
  • Prepare ad-hoc/scheduled reporting and serve as a resource for process-improvement tasks.
  • Execute a variety of tasks associated with the onboarding process and audits for compliance.
  • Provide managerial support and guidance on position management and HR data inquiries.
  • Collaborate with HR Operations and broader team members for orientation and training delivery.

The Role

This role will serve as the front-line administrator for entering, processing and auditing sensitive HRIS data. The HR Data Coordinator is also responsible for maximizing technological capabilities to reduce manual processes, preparing ad-hoc/scheduled reporting and serving as a resource for process-improvement tasks and special projects. This position will also execute a variety of tasks associated with the on-boarding process.

Key Responsibilities
  • Data Management & Onboarding: Manage organization-wide data entry and tracking for new hires, job changes, and acquisitions, while maintaining comprehensive electronic personnel records for current and former employees.
  • System Auditing & Compliance: Conduct regular audits of manager/talent team submissions, system approval workflows, and onboarding compliance to ensure maximum data accuracy and regulatory alignment.
  • Managerial Support & Guidance: Serve as the primary HR resource and guide for managers regarding position management, system processes, and HR data inquiries.
  • Reporting & Analytics: Facilitate data requests by assessing feasibility, generating ad-hoc reports, and ensuring data availability across the HR department.
  • Team Collaboration & Training: Partner with internal HR Operations and broader team members to assist with orientation, compliance follow-ups, and training delivery as needed.
