Position Description & Scope

The HR Coordinator plays a key role in supporting the Human Resources function in a dynamic, medium-sized, unionized organization with global operations. This role provides broad-based support across HR functions including recruitment, labour relations, payroll coordination, administration and internal communications. The successful candidate will be detail-oriented, adaptable, and capable of managing both administrative and creative tasks.

Position Duties & Responsibilities

HR Operations & Administration

  • Manage employee files and HR records, ensuring accuracy and confidentiality across Canadian and global locations.
  • Prepare employment-related documentation, including offer letters, contracts, and policy communications.
  • Support the roll-out of HR programs
  • Ensure adherence to applicable employment laws, internal policies, and collective agreements.

Full-Cycle Recruitment

  • Support the recruitment process from job posting through onboarding, including resume screening, scheduling, interviews, reference checks, and offer preparation.
  • Support employer branding initiatives and maintain job postings across platforms.

Corporate Communications & Social Media

  • Draft and distribute internal communications including memos, announcements, and presentation materials.
  • Support content development for social media platforms to promote employer brand and internal initiatives.

Labour Relations Support

  • Assist with investigations, union correspondence and grievance tracking.
  • Ensure HR actions are aligned with collective agreements and consult with HR leadership on issues requiring escalation.

Payroll & Benefits Coordination

  • Assist with timesheet verification, benefit enrollments, and payroll reporting support.
  • Respond to employee inquiries related to payroll and benefits with accuracy and discretion.

Global HR Support

  • Assist with documentation and compliance tracking for international employees and global assignments.
  • Support execution of global HR programs such as performance reviews, compliance audits, and recognition initiatives.

HRIS & Reporting

  • Maintain and update employee data in HR systems; generate reports and dashboards as required.
  • Monitor data accuracy and support system optimization and documentation.

Training & Development

  • Coordinate logistics for employee training sessions, workshops, and onboarding programs.
  • Maintain training records and ensure compliance with mandatory training requirements (e.g., health & safety, AODA, WHMIS).
  • Support the development and rollout of orientation materials and training content for new hires and internal transfers.
  • Liaise with external training vendors and internal subject matter experts to schedule sessions and track participation.
  • Monitor training completion rates and prepare reports for management and compliance audits.

Qualifications

  • Post-secondary education in Human Resources, Communications, or a related field.
  • 2–4 years of progressive HR experience, including exposure to full-cycle recruitment and internal communications.
  • Experience in a unionized environment and/or global organization strongly preferred.
  • Knowledge of Canadian employment laws; global compliance experience is an asset.
  • Familiarity with payroll processes and health & safety program coordination.
  • Proficiency with HRIS and ATS systems (e.g., Dayforce, ADP, Workday).
  • Experience creating communication content for internal and social media platforms.
  • CHRP designation (or in progress) is an asset.
