Job description

About the Role

This House Manager role isn’t about clocking in and running errands on a checklist. This is about becoming the calm, capable force behind a busy, fast-moving family’s home, the person who turns a full calendar of school, activities, travel, and hosting into something that just works.

We’re hiring a full-time House Manager in Kelowna, BC to run the day-to-day of a high net-worth Kelowna family household while our current Household Manager is on maternity leave. The home includes two teenage boys, a family dog, and a lot of moving pieces. The family relies on a steady, hands-on partner who can hold the whole picture, make the call when it’s needed, and keep everything running smoothly behind the scenes.

Are you a household manager who doesn’t just tidy up, but architects order out of chaos? Do you anticipate what’s needed before anyone asks? Do you take real pride in getting the details right, and real satisfaction in a home that runs like a well-oiled machine? If you’re nodding, this is the role you were built for.

You’re the perfect fit if you are
  • A Master of Systems: You don’t just manage to-do lists — you build checklists, manuals, and routines so nothing lives only in your head. You juggle vendors, deadlines, and priorities without dropping a ball.
  • Proactive by Nature: You anticipate needs before being asked and follow through without reminders. You have a genuine “yes, and” attitude — no task is too big or too small.
  • Calm Under Pressure: Plans change last-minute and you roll with it, bringing energy and warmth even when the day gets messy. You’re dependable, organized, and steady.
  • Discreet, Always: Privacy is non-negotiable. You handle confidential family information with unwavering discretion and sound judgment.
  • Great with Kids and Pets: You’re comfortable and confident around teenagers and dogs, and you bring patience, warmth, and structure to both.
  • A Clear, Direct Communicator: You know when to make the call yourself and when to flag it — and you communicate warmly and without drama either way.
  • Tech-Savvy & AI-Fluent: You’re fluent with the tools that bring efficiency to your work, and you actively use AI to draft correspondence, organize information, and automate the busywork.
What You’ll Do

You’ll be at the centre of the household, creating ease and order so the family can focus on the things that matter. You’ll work closely with the family and their existing support team, with the trust and autonomy to run things independently once you know the ropes.

Household Operations & Standards
  • Oversee daily operations — laundry, tidying, mail and package processing, and keeping the home guest-ready
  • Prepare light meals — simple breakfasts and kid-friendly dinners on a rotating basis
  • Manage weekly, monthly, quarterly, and seasonal maintenance routines (deep cleans, appliance care, seasonal changeovers, hot tub / sauna upkeep, and similar recurring tasks)
  • Coordinate and oversee the house cleaner and other recurring service providers
  • Keep the home stocked — pantry, household and personal-care supplies, kids’ snacks, and weekly groceries
  • Maintain clear household manuals, checklists, and SOPs so nothing depends on memory alone
Kids & Family Logistics
  • Handle school drop-off and/or pick-up on assigned days and manage the daily school-run schedule
  • Provide after-school supervision for two teenage boys — meals, activities, homework logistics, and evening routines
  • Provide occasional overnight childcare when the parents are traveling (not a live-in role, but flexibility for occasional overnights is required)
  • Support the boys’ extracurriculars, appointments, and day-to-day scheduling changes
  • Help care for the family dog — feeding, walks, and coordinating with the groomer, trainer, and vet as needed
  • Act as the primary point of contact for household vendors, trades, contractors, cleaners, landscapers, and other service providers
  • Schedule and oversee repairs, seasonal maintenance, and small home-improvement projects
  • Support setup and breakdown for family gatherings, dinners, and events at the house
Vehicles, Gear & Other Properties
  • Manage the family’s car collection — cleaning, fueling, mileage logs, and coordinating service, detailing, and storage
  • Oversee bikes and other seasonal gear — proper storage, seasonal changeovers, and maintenance scheduling
  • Coordinate care for a boat, including seasonal launch / haul-out and moorage logistics
  • Support the family’s additional seasonal home(s) — coordinating with on-site caretakers/cleaners, arrival and departure prep, and seasonal upkeep
Travel & Events
  • Prepare the house ahead of family travel and reopen it on their return
  • Do a weekly check of the property while the family is away
  • Coordinate logistics, reservations, and errands connected to family travel
  • Help plan and run family dinners, gatherings, and occasional larger hosting events
Administration & Finance
  • Track household purchases and receipts against the family’s expense‑tracking system
  • Process and pay recurring household invoices
  • Coordinate weekly meal delivery and grocery planning
  • Keep vendor contacts, contracts, and household documentation organized and current
What You’ll Need
  • Experience in household management, property management, hospitality, childcare, or a similarly fast‑paced service role
  • A proven ability to juggle multiple priorities, vendors, and moving pieces without dropping the ball
  • Strong judgment and unwavering discretion with confidential family information
  • Comfort and confidence working around teenagers and pets
  • A valid driver’s license and reliable transportation for school runs, errands, and vendor coordination
  • A valid passport (Canadian or other) and proof of legal eligibility to work in Canada
  • Comfort with light physical tasks — stocking, cleaning support, event setup
  • Openness to occasional evening or weekend flexibility, including overnight childcare during parent travel
Why This is a One-of-a-Kind Opportunity

This is a role for someone who takes pride in running things exceptionally well and wants to do it inside a home that values it. We offer:

  • Real Autonomy: We don’t micromanage. Once you know the ropes, you’ll have the freedom and trust to run the household your way and make the calls that keep everything moving.
  • A Tight-Knit Team: You’ll work alongside the family and their existing support team — real relationships, real collaboration, and a home that genuinely appreciates the work you do.
  • Room to Grow: This is a maternity-leave coverage role with the possibility of continued employment afterward, depending on the family’s needs. Show us what you can do and there’s room to grow into more.
Schedule & Logistics
  • Position Type: Full-time temporary maternity leave coverage, with the possibility of continued employment afterward
  • Location: Kelowna, BC, in-person; remote or hybrid is not available
  • Live‑in: No, this is not a live‑in position
  • Start Date: Flexible, ideally mid‑November
