Job summary

The Town of New Tecumseth is seeking a Fleet Services Coordinator to coordinate maintenance schedules, manage parts inventories, and oversee fuel and shop supplies for our municipal fleet. The role requires experience with CMMS, strong organization, and attention to compliance with provincial standards.

Based at Roads Depot 2 in Beeton, you will work with Fleet Supervisors and mechanics, assist with tender preparation, asset records, and ensure timely repairs and inspections in a fast-growing

Qualifications

  • Post-secondary diploma in Fleet Management or related field.
  • Class G driver’s licence in good standing; clean driver’s abstract.

Responsibilities

  • Administers CMMS for service requests and work orders; verifies accuracy.
  • Maintains fleet asset records in accordance with provincial standards.
  • Assists Fleet Supervisor with reviewing fleet specifications as needed.
  • Coordinates repair schedules in CMMS with Fleet Supervisor and staff; distributes work orders.
  • Coordinates vehicle maintenance deliveries with supervisors for preventative services.
  • Maintains and audits parts and supplies inventory; updates CMMS accordingly.
  • Coordinates and administers AVL in all AVL equipment.
  • Coordinates pricing, quotations, and delivery of new parts and equipment; outsources repairs as needed.
  • Ensures annual periodic inspections per MT Motor Vehicle Inspection Station guidelines.

The Town of New Tecumseth is looking for a Fleet Services Coordinator to join our rapidly growing team.

The Fleet Services Coordinator is primarily responsible for the coordination, administration, and inventory management of fleet asset repair and maintenance schedules, parts inventory and ordering, and monitoring and ordering of, but not limited to, fuel, oils, and shop supplies. Additional duties may include assisting with the preparation of tenders, quotations, bids, commissioning of new assets, decommissioning and disposal of surplus fleet assets.

How you contribute to our organization:
  • Administers and utilizes the Computerized Maintenance Management System (CMMS) for all Service Requests and Work Orders issued to and within the Business Unit. This includes opening, reviewing , and verifying the accuracy of all Work Orders. As well as troubleshooting, correcting, and recommending improvements to the system.
  • Creates and maintains all fleet asset records in accordance with provincial standards.
  • Assist Fleet Supervisor with reviewing and investigating fleet specifications when required
  • Coordinate repair schedules in the CMMS with Fleet Supervisor and other Business Unit Staff to assist Senior Fleet Technician or their designate with the distribution of work order repair and maintenance between Fleet Technicians.
  • Coordinate with Business Unit Supervisors, the delivery of vehicles due for preventative maintenance services and repairs.
  • Maintain an inventory of all parts including, but not limited to fuel, oil, filters, lights, etc. and update the inventory in the CMMS as new parts arrive and parts are used.
  • Perform annual inventory of all parts, fluid, and shop related supplies for record keeping and audit purposes.
  • Coordinate and administer the Automated Vehicle Location (AVL) in all AVL equipment.
  • Coordinate the pricing, quotations, acquisition, and delivery of new parts and equipment, outsourced repairs and warranty work with outside dealers.
  • Ensures the performance of annual periodic mandatory commercial vehicle inspections (PMCVIs) as per the Ministry of Transportation Motor Vehicle Inspection Station Guidelines.
What you bring to the team:
Education and Training:
  • Requires post-secondary diploma in Fleet Management, Automotive Parts and Service Operations, Automotive Business, Business Administration or Automotive Service Technician Licence (310S) in good standing with the Ontario College of Trades.
  • Must have Class "G" level driver’s licence in good standing and ability to provide a clean driver’s abstract.
Preferred:
  • Truck and Coach Technician Licence (310T) in good standing with the Ontario College of Trades.
  • Class D Driver’s licence with Z endorsement.
Experience
  • Requires 2-3 years’ experience working in an Automotive/Heavy Truck Parts Store or Automotive/Heavy Truck Mechanic Shop.
  • Must have good understanding of fleet operations with regard to repair requirements, scheduling, and maintaining an operating fleet.
Preferred:
  • 2-3 years’ experience working in a Municipal Fleet Mechanic Shop.
  • 3-4 years’ experience working in an Automotive/Heavy Truck Parts Store.
  • 3-4 years’ performing service, repair, and maintenance on various types of vehicles and equipment.

Pay Rate: $34.01- $42.51/hr plus employer paid benefits and OMERS pension plan.

Hours: 40 hours per week

Location: Roads Depot 2 in Beeton
