Qualifications

Responsibilities

  • Maintain and update records for all fleet vehicles including registration and maintenance history.
  • Coordinate routine and emergency maintenance with service providers.
  • Monitor fleet usage and mileage to optimize allocation and reduce costs.
  • Assist with compliance with federal and provincial transportation regulations.
  • Prepare reports on fleet performance and incidents for management.
  • Support onboarding/offboarding of drivers and training coordination.
  • Manage procurement and disposal processes for fleet vehicles.

About the Role:

The Fleet Admin plays a critical role in ensuring the smooth and efficient operation of a company's vehicle fleet across Canada. This position is responsible for managing vehicle records, coordinating maintenance schedules, and supporting compliance with regulatory requirements. The Fleet Admin acts as a liaison between drivers, service providers, and management to optimize fleet utilization and minimize downtime. By maintaining accurate data and facilitating timely communication, this role contributes to cost control and operational efficiency. Ultimately, the Fleet Admin supports the overall logistics and transportation functions, enabling the company to meet its delivery and service commitments effectively.

Minimum Qualifications:
  • High school diploma or equivalent.
  • Proven experience in fleet administration, logistics, or a related field.
  • Familiarity with Canadian vehicle registration and transportation regulations.
  • Proficiency in Microsoft Office Suite, especially Excel for data management.
  • Strong organizational and communication skills.
Preferred Qualifications:
  • Post-secondary education in logistics, business administration, or a related discipline.
  • Experience with fleet management software or enterprise resource planning (ERP) systems.
  • Knowledge of vehicle maintenance and repair processes.
  • Ability to analyze data to identify trends and recommend improvements.
  • Bilingual proficiency in English and French.
