MRG Live, part of The MRG Group, is seeking a Vendor Coordinator - West to manage vendor lifecycle across Western Canadian festival and event portfolio from Vancouver. You will be the primary contact for food vendors, merchants, exhibitors, and other participating vendors, ensuring they receive clear information and that all requirements are completed ahead of each event.

This role supports events across British Columbia, including Khatsahlano Street Party and other large-scale events.

Qualificações

• 2+ years of experience in event coordination, festivals, markets, hospitality, vendor management, or event operations.
• Vendor management experience coordinating food trucks, merchants, exhibitors, markets, or similar participants is strongly preferred.
• Administrative skills: highly organized, manage applications, documentation, invoices, payments, databases, deadlines.
• Event operations: comfortable with site maps, booth placements, power, load-ins, and logistics.
• Regulatory knowledge: municipal permitting, health authorities, licensing, or food-service regulations is an asset.
• Strong communication, written and verbal, customer-service oriented.
• Willingness to travel and work early mornings, evenings, weekends, and outdoor events.

Responsabilidades

• Manage vendor applications, approvals, agreements, and event registration processes.
• Serve as primary contact for food vendors, merchants, exhibitors, and other vendors.
• Manage vendor inbox and respond to inquiries promptly and professionally.
• Maintain vendor databases and support recruitment for events.
• Coordinate vendor permits, health docs, licensing, insurance, and other required forms.
• Prepare and distribute vendor advance information including arrival times and site rules.
• Coordinate booth size, power, equipment rentals, and infrastructure needs.
• Work with Event Ops to determine vendor placements and update site maps.
• Lead or assist vendor load-in/load-out and resolve on-site issues.
• Ensure vendor obligations and MRG commitments are fulfilled for each event.
• Prepare vendor invoices, track payments, and support post-event reconciliation.
• Track vendor sales and manage post-event reporting and invoicing.
• Maintain accurate vendor records using Asana, Google Sheets, Square, and related tools.
• Support sponsor or partner load-in and event execution as needed.
• Maintain strong vendor relationships and identify opportunities to improve the experience year over year.
• Other duties as assigned.
