The Facilities Manager is responsible for the overall maintenance, safety, and functionality of our bank offices. This role ensures that all facilities are operating efficiently, meet regulatory requirements, and provide a safe and comfortable environment for both associates and clients.
Responsibilities
Facility Maintenance and Operations:
Oversee the maintenance, repair, and improvement of all bank offices.
- Develop and implement preventative maintenance programs.
- Coordinate with vendors and contractors for repairs, renovations, and services.
- Ensure all facilities meet safety, health, and environmental standards.
Budget and Cost Management:
- Prepare and manage the facilities budget.
- Monitor and control maintenance costs, seeking cost-saving opportunities without compromising quality.
- Review and approve invoices related to facilities operations.
Compliance and Safety:
- Ensure all facilities comply with local, state, and federal regulations.
- Conduct regular safety inspections and risk assessments.
- Develop and implement emergency response plans.
- Train staff on safety procedures and emergency protocols.
Space Planning and Management:
- Plan and manage office space to meet the needs of the organization.
- Coordinate office moves, space reconfigurations, and new office setups.
- Maintain accurate records of facility layouts and equipment.
Vendor and Contractor Management:
- Establish and maintain relationships with service providers and contractors.
- Negotiate contracts and service agreements.
- Monitor and evaluate vendor performance.
Collaboration:
- Work closely with other facility managers to share best practices and ensure consistency across offices.
- Collaborate with Retail Managers to understand and address their facility-related needs and concerns.
- Communicate effectively with associates to ensure they are aware of any facility-related updates or changes.
- Foster a collaborative environment by encouraging feedback and input from all staff members regarding facility operations and improvements.
Other Duties:
- Participates in internal/external training as appropriate.
- Participates in community involvement/bank activities as appropriate.
- Perform all other duties as assigned or requested.
Adhere to all Bank Security/Compliance Regulations
- Complete all annual bank security and compliance training.
- Adhere to Bank Security/compliance and policy guidelines.
- Always maintain confidentiality of client information.
- Stay current on all compliance regulations, required through training and daily education.
Qualifications
- Bachelor's degree in Facilities Management, Business Administration, or a related field preferred and/or 5+ years of experience in facilities management, preferably in a multi-site environment.
- Strong knowledge of building systems, maintenance procedures, and safety regulations.
- Excellent organizational and project management skills.
- Strong negotiation and vendor management skills.
- Ability to work independently and as part of a team.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and facility management software.
- Strong attention to detail with the ability to work efficiently & accurately
- Demonstrated ability in exercising independent judgment
- Strong organizational skills, including the ability to prioritize and remain calm while working in a fast paced/deadline driven environment
- Ability to put forth the extra effort necessary to ensure a successful operation, including but not limited to working additional hours, attending educational programs, etc.
- Ability to read, write, understand and speak English clearly
- Ability to represent the organization in a professional, positive manner
- Willingness to work toward the goals and performance standards of the department with a focus on the bank and department mission statements.
This position offers flexibility in both location and hours. The role can expect to be scheduled within the hours of 8am - 6pm Monday-Friday.
