Job summary

Hamilton Health Sciences is seeking a Supervisor for Health Records to coordinate and prioritize day-to-day activities, ensuring quality and timely work across acute care sites. You will support budget monitoring and collaborate with the Manager to manage expenses to targets.

You will oversee staff operations to uphold the mission, vision and values of Hamilton Health Sciences and of the Health Record Department.

Qualifications

  • Certification in Health Information Management is required.
  • Minimum 3 years leadership experience in a hospital setting preferred.
  • Strong facilitation and change leadership abilities.
  • Ability to manage multiple activities and priorities.
  • Experience in Health Record environments is preferred.
  • Supervising unionized staff is preferred.
  • Experience with hospital policies and relevant legislation.
  • Excellent written and verbal communication skills.
  • Strong analytical and problem-solving abilities.
  • Knowledge of customer service and service excellence.
  • Conflict management knowledge is preferred.
  • Proficiency in Excel, Word and PowerPoint is essential.
  • Experience with Peoplesoft and Meditech is preferred.

Responsibilities

  • Provide leadership to ensure quality, accuracy and timeliness of department projects.
  • Lead and develop systems and processes for organized workflow.
  • Monitor day-to-day operational needs of the department.
  • Participate in policy and procedure development for daily operation.
  • Participate in hiring, appraisals and disciplinary actions per hospital policy.
  • Coach and role model staff development and growth.
  • Collaborate with the union to resolve grievance issues.
  • Monitor processes to measure service quality.
  • Ensure equipment and resources support department functions.
  • Oversee work and vacation schedules per collective agreement.
  • Participate in committees as assigned.
  • Develop monitoring tools to support staff needs and efficient operation.
  • Provide reports analyzing data as necessary.
  • Prepare and conduct staff orientation.
  • Other duties as assigned

Job description

Finance, Logistics, Information, Privacy and Research (FLIP-R) includes the following departments: Finance, Logistics, Health Records (&Patient Registration), Decision Support, Privacy and Research. Information support facilitates the creation of knowledge rich environment for making timely and informed tactical and strategic decisions and maximizing decisions based on evidence to help in the delivery and continuum of patient care. Providing expertise in analyzing and interpreting, protecting and presenting information and educating the corporation on this information.

  • Provide leadership to ensure quality, accuracy and timeliness of department projects and tasks.
  • Lead and develop systems and processes which create organized and efficient workflow.
  • Maintain and monitor the day-to-day operational needs of the department in an effective and efficient manner.
  • Participate and prepare in the development of policies and procedures relevant to the daily operation of the service.
  • Participate in hiring staff, conducting performance appraisals and disciplinary action in accordance with hospital policy and the collective agreement.
  • Facilitate, coach and role model ongoing staff development goals to ensure continual growth.
  • Collaborate effectively with the union to resolve grievance related issues.
  • Monitor processes which are necessary to measure and evaluate the quality of service.
  • Ensure that the equipment and resources are appropriate for the functions and activities of the service.

Position Summary

The Supervisor reports to the Manager of Health Records for Hamilton Health Sciences. The position provides leadership by coordinating and prioritizing the day-to-day activities of the Health Record staff, ensuring the quality and timeliness of work performed at all acute care sites. The Supervisor will work collaboratively with the Manager to prepare and monitor the department budget and manage the expenses to achieve budget targets. The Supervisor will oversee the staff and daily operational needs of the Health Record Department to ensure to uphold the mission, vision, and values of Hamilton Health Sciences and of the Health Record Department

Monday to Friday days

Qualifications
  • 1. Certification in Health Information Management required.
  • 2. Minimum 3 years leadership experience in a hospital preferred.
  • 3. Strong facilitation in team building and to lead and model positive change required.
  • 4. Strong ability to manage numerous and diverse activities, organizing priorities to meet departmental demands and expectations required.
  • 5. Related experience in a Health Record environment, including electronic health records preferred.
  • 6. Demonstrate experience in supervising unionized staff preferred.
  • 7. Demonstrate experience in dealing with staff at all levels preferred.
  • 8. Understanding of hospital policy, procedures and relevant legislation required.
  • 9. Excellent communication skills, interpersonal and written is essential.
  • 10. Demonstrate analytical and problem-solving abilities are essential.
  • 11. Knowledge of customer service and service excellence is essential.
  • 12. Understanding and demonstrated knowledge of conflict management preferred.
  • 13. Proficient in Microsoft Excel, Word and Powerpoint is essential.
  • 14. Experience with Peoplesoft and Meditech preferred.
