Job description

Ready to build your career? We want to hear from you.

This role goes far beyond traditional executive assistant work. You're not just a gatekeeper — you're a catalyst for success. You’ll act as a strategic extension of the Sr VP, owning his calendar and priorities, managing internal relationships, and acting as a liaison between regional reporting duties and the head office in Montreal. You're here to clear noise, bring clarity, and move things forward — fast and smart.

What You Will Do

  • Own the VP’s schedule like a strategist. Align time with company priorities. Ensure the needs of the organization as well as that of the Sr VP are met.
  • Manage inboxes and key communications. Draft responses, chase down follow-ups, and keep momentum with high priorities.
  • Coordinate communication and execution across and between internal and external partners and collaborators. Anticipate what’s needed, prep ahead of meetings, and follow up to ensure things get done with polish.
  • Be strategic and involved with research; coordinate and execute on fast-moving priorities. You’re a thinking partner who can help move ideas toward structured action.
  • Gather key knowledge and formulate initial conclusions and insights utilizing tools tied to Workforce Planning, CRM, Project Management, and Finance.

This role could be for you if you have

  • At least 3 years in an EA/Chief of Staff or direct admin to a senior executive
  • Two steps ahead — always
  • Organized, but flexible in chaos
  • Tech savvy, not afraid to learn new systems
  • Comfortable speaking up
  • Loyal to the mission, not the status quo
  • Obsessed with efficiency, clarity, and outcomes
  • Strategic in how you support
  • Collaborative and able to work in a sometimes-contradictory environment
  • Resilient, patient, creative, and clever. You make things happen.
  • Reliable. You stick to your commitments.
  • French is an asset
