Job description

Executive Assistant to the Superintendent - Level 2

Reports to: Superintendent of Education, Family of Schools, Mental Health and Wellbeing

Location: Central Offices of the Board

Work Schedule: 35 hours per week, Monday to Friday, 12 months

Prerequisites For Position
  1. Successful completion of a two-year post-secondary program in secretarial studies or office administration.
  2. Minimum of five years’ experience providing executive support.
  3. Advanced skills in a computerized environment including word processing, spreadsheets, internet, virtual meetings, and office equipment.
  4. Strong interpersonal skills for effective communication with administrators, staff, parents, agencies, and community partners.
  5. Excellent verbal and written communication skills; ability to handle complaints, problem-solve, and provide procedural guidance.
  6. Ability to review confidential correspondence and inquiries, identifying critical issues and referring appropriately.
  7. Effective in a fast-paced environment with strong organizational and time management skills.
  8. Exceptional scheduling skills and discretion with confidential information.
  9. Experience in drafting correspondence, reports, policies, and confidential documentation.
  10. Knowledge of Board policies, procedures, and relevant legislation (Education Act and Regulations).
Key Job Responsibilities
  1. Provide administrative support to Superintendents across various portfolios, including scheduling, meeting organization, agenda preparation, and correspondence.
  2. Prepare agendas and minutes for meetings as needed.
  3. Ensure timely preparation and submission of reports for the Board of Trustees and the Ministry of Education.
  4. Draft correspondence and prepare documentation related to performance management, discipline, negotiations, grievances, and employee matters.
  5. Manage inquiries from staff, unions, community, and parents, developing appropriate responses.
  6. Handle sensitive issues during Superintendent’s absence, exercising judgment and seeking advice when necessary.
  7. Maintain files, reports, and portfolio responsibilities, including research and summary preparation.
  8. Assist with budget monitoring and funding reports.
  9. Attend meetings to take minutes and prepare follow-up actions.
  10. Perform other duties as assigned.
