Position Overview

Reports to: Superintendent of Education, Family of Schools, Mental Health and Wellbeing;
Location: Central Offices of the Board
Work Schedule: 35 hours/week, Monday to Friday, 12 months

Prerequisites
  • Successful completion of a two-year post-secondary program in secretarial studies or office administration.
  • Minimum of five years’ experience providing executive support.
  • Proficiency in a computerized environment, including word processing, spreadsheets, internet, virtual meetings, and office equipment.
  • Strong interpersonal skills for effective communication with administrators, staff, parents, agencies, and community partners.
  • Excellent verbal and written communication skills, with the ability to handle complaints, problem-solve, and provide procedural guidance.
  • Ability to review confidential correspondence and inquiries, and refer issues appropriately.
  • Effective organizational and time management skills in a fast-paced environment.
  • Exceptional scheduling skills for calendars, meetings, and projects, with discretion in handling sensitive information.
  • Experience drafting correspondence, reports, policies, and confidential documentation.
  • Knowledge of Board policies, procedures, and relevant legislation (e.g., Education Act).
Key Responsibilities
  • Provide administrative support to Superintendents overseeing various portfolios, including scheduling, meeting organization, and report preparation.
  • Prepare agendas and minutes for meetings.
  • Ensure timely submission of reports to the Board of Trustees and the Ministry of Education.
  • Draft correspondence related to performance management, grievances, negotiations, and employee matters.
  • Manage schedules and projects related to employee performance and HR matters.
  • Handle complaints, resolve issues, and relay inquiries to appropriate personnel.
  • Act with initiative during the Superintendent’s absence, addressing urgent matters.
  • Maintain files, reports, and research policies and information as needed.
  • Assist with budget monitoring and funding reports.
  • Attend meetings to take minutes and prepare follow-up actions.
  • Perform other duties as assigned.
