The successful candidate will provide administrative support, manage schedules, and maintain records in a culturally sensitive environment. This role requires excellent organizational and communication skills along with a minimum of five years of relevant experience. The position offers a salary range of $24.57 – $31.37 based on experience.

  • Must be physically able to lift over 25 lbs and work at a computer for long periods.

Position: Executive Assistant to Chief & Council
Starting Range: $ 24.57 – $ 31.37 (Pending Education & Experience)
Location: Garden River Administrative Office, 7 Shingwauk Street
Report to: Political Adviser

POSITION SUMMARY

The Executive Administrative Assistant is responsible for providing effective and efficient administrative support to Chief and Council. The Executive Administrative Assistant functions within legislative requirements, regulations, policies and procedures and the Mission and Vision of the Garden River First Nation and contributes to the accomplishment of the strategic priorities.

DUTIES
  • Schedules and attends all required meetings with Chief and Council
  • Prepares agendas, completes minutes, compiles relevant information and distributes information to Chief and Council.
  • Schedule Management: setting up travel, meetings, and other appointments, effectively utilizing Microsoft Outlook and other schedule management tools to categorize all agenda items
  • Office management duties including accurate organization and filing relevant documents and maintenance of files and records
  • Communication Liaison: Receive, organize, distribute all relevant information (Email, phone, mail, etc.) to Chief and Council
  • Information Preparations: preparing and formatting all required information defined by Chief and Council for internal and external distribution
  • Records Management: taking steps to maintaining compliance with all applicable record keeping requirements
  • Conduct research, interpret data, and compile reports
  • Participating in committee involvement when required including technical support, budget management, report management, other assigned tasks
  • Supervision of Administrative Assistants as assigned, and other project staff that maybe required
  • Liaison: works cooperatively with the GR staff and membership to provide information and record information as required and directed.
  • Manage budget information, track and enter invoices as required
  • Help to organize and manage community events as requested
  • Performing other related duties as maybe required or assigned
QUALIFICATIONS
  • Requires two-year college diploma in Office Administration, Business, and/or other related program; University Degree in Business Administration and/or another related field considered an asset.
  • Required five years related experience in an office environment acting in a supporting role to a senior management position(s).
  • Demonstrated sensitivity to and knowledge of First Nation cultural values and traditions. (Familiar with First Nations customs and traditions; being familiar with First Nation Culture and practices)
  • Ability to work on weekends and/or after hours.
  • Ability to use critical thinking skills to analyze problems and propose solutions.
  • Stamina, sensitivity and strong negotiation and advocacy skills.
  • Ability to work under pressure to meet deadlines.
  • Ability to work independently and collaboratively as a member of a team.
  • Must be physically able to lift over 25 lbs, and work at a computer for long periods of time
  • Excellent organizational skills, time management skills, interpersonal and communications skills, both oral and written.
  • Excellent computer skills required (including MS Word, Word Perfect, Excel, Internet, Email, Outlook).
  • Confidentiality requirements
  • Valid G license and access to a reliable vehicle – travel required
  • Must undergo a criminal record and vulnerable sector check prior to employment (At Applicant Expense)
