Reporting to the Manager of the Executive Office, we seek a full-time, permanent Executive Assistant (EA) to provide confidential, executive-level administrative support to the CEO and assist the Manager with supporting the Board of Trustees. The successful candidate will handle core administrative tasks such as maintaining file systems, managing databases, organizing meetings, and coordinating with corporate services (IT, People & Experience, Facilities, Maintenance, and Finance). Additional responsibilities include preparing correspondence, managing supplies, creating presentations, supporting the Executive Leadership team, and other duties as assigned. This role requires high confidentiality and discretion, effective liaison with internal and external stakeholders, and comfort working with diverse systems and organizations, including healthcare, education, and government sectors. The position is located at 100 Stokes Street on the Queen Street campus and is a hybrid role with at least 3 days onsite per week.
Job Requirements
The ideal candidate will possess a Bachelor's Degree or Community College diploma in a related field, with 3-5 years of senior administrative experience in the community / public sector, including supporting Boards and Committees. Experience supporting executive schedules is an asset. Candidates should have superior computer, organizational, and communication skills, tact, diplomacy, and sound judgment. Ability to work independently and handle multiple priorities under pressure is essential. Proficiency in Microsoft Office (especially PowerPoint), Adobe Acrobat, and quick learning of new software is required. Strong written and oral communication skills, minute-taking, and experience working with diverse clients and organizations are preferred. Bilingualism (French / English) or additional languages are assets.
