We are seeking a proactive and organized Executive Assistant to support our Legal, Compliance and Regulatory team. This role involves managing policies, procedures, and programs that promote corporate stability, supporting business units, and ensuring compliance with obligations and stakeholder engagement.
You will report to the VP, Deputy General Counsel, and Assistant Corporate Secretary, supporting legal senior leadership.
Responsibilities include:
- Managing the calendar and activities of legal senior leadership to optimize their time and priorities.
- Building effective relationships within the business, prioritizing meeting invites, and proactively assessing urgency.
- Coordinating meeting logistics, including booking rooms and resources.
- Supporting department events and preparing briefing documents, project updates, and contingency plans.
- Developing PowerPoint presentations and other documents, ensuring accuracy and professionalism.
- Preparing materials for internal and external meetings.
- Organizing travel arrangements and preparing travel documentation.
- Maintaining filing systems and ensuring accessibility of reports, forms, and documents.
- Reviewing and managing corporate expenses and reimbursements within guidelines.
- Handling correspondence, reports, and meeting minutes with attention to detail.
- Assisting with project management by tracking action items and deadlines.
Qualifications:
- 3-5 years of experience as an executive assistant or administrator supporting senior leaders.
- Eligibility to work full-time at Interac in Canada.
- Strong analytical, critical thinking, and problem-solving skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Meticulous attention to detail and excellent organizational skills.
- Experience with social media and collaboration tools like LinkedIn.
- Ability to handle stressful situations calmly and decisively.
- Discretion, maturity, and ability to maintain confidentiality.
