Job description

Our client is looking for a Senior Executive Assistant who possesses expertise in providing administration and operational support at a senior level. The ideal candidate should excel in a dynamic and fast-paced work setting, promote a culture of honesty and ethics, adeptly manage intricate tasks and exhibit exceptional autonomy in their work.

What you will be responsible for:

  • Acting as an intermediary to facilitate effective communication and foster relationships between advisors, key executives, employees, internal/external stakeholders, and the Executive.
  • Establishing and sustaining inter-organizational relationships to facilitate transparent channels for communication and exchange of information between key executives, advisors, and the Executive.
  • Overseeing the Executives schedule to optimize the productive use of time in accordance with their preferences and priorities.
  • Assisting the executive with personal assistant errands, travel and appointments as necessary
  • Creating and executing a productive meeting schedule that conforms to the Executives needs, guaranteeing timely circulation of agendas and materials, preparing attendees, making sure time is utilized efficiently, accomplishing meeting goals and creating action items.
  • Keeping contact lists and relevant information up to do and ensuring the Executive has convenient and efficient access to them at all times.
  • Collaborating with IT to ensure all technology requirements are met and challenges are resolved.
  • Extensive domestic and international travel coordination. This includes scheduling accommodation, flights, and document preparation for meetings and events.
  • Collaboration with other staff and stakeholders to spearhead the planning, scheduling, organization, and successful execution of special events.
  • Examining existing practices and offering suggestions to executives, stakeholders, the Executive regarding enhancements in processes, communication, management systems and other areas.
  • Keeping up to date with and consolidating schedules of the executive team and stakeholders to ensure meeting locations, agendas, attendance and other factors are organized effectively.
  • Handling inquiries, devising action plans, and aiding in the creation and distribution of communications in coordination with the Executive, Legal Advisors, stakeholders.

What you will bring:

  • A bachelor’s degree in business administration is considered an asset.
  • A proven track record of career progression within administrative support and ideally 5+ years in a related position.
  • Proficiency in corporate structures and experience in handling corporate documents.
  • Proven track record of project management experience is considered an asset.
  • Proficiency with computer software’s and systems.

What you will receive:

  • Salary of $90,000-$120,000 dependent upon experience
