Job summary

RBC in St. Catharines, Canada, seeks an Executive Assistant to support Regional VPs Retail and Commercial Market. This part-time role (18.75 hours/week) requires coordinating calendars, managing communications, and facilitating efficient operations in Southwestern Ontario.

Qualifications

  • 2–4 years of experience providing administrative support to senior leaders.
  • Advanced knowledge of MS Office, Adobe Acrobat, and social media platforms.
  • Proactive problem-solving with strong decision-making abilities.
  • Excellent interpersonal skills and stakeholder relationship building.
  • Strong organizational skills and attention to detail.
  • Resourceful team player who can work independently.
  • Experience in Financial Services is a plus.

Responsibilities

  • Plan and monitor market expenses, staff budgets, recognition programs, events, and regional communications.
  • Support RVPs' calendar planning and pre-preparation for bookings.
  • Prioritize RVP time against high-impact activities.
  • Manage correspondence and serve as a point of contact for executives, staff, and clients.
  • Support risk, compliance, transit routines, and market office operations.
  • Prepare for weekly, monthly, quarterly reviews and manage information reporting.
  • Coordinate onboarding of new hires, including equipment orders and system access.
  • Maintain confidentiality.

What is the opportunity?

As the Executive Assistant supporting Regional Vice Presidents Retail and Commercial Market, you will provide in-depth support in day-to-day management of teams in the Southwestern Ontario Region.The primary purpose of this role is to help the RVPs maximize their time against top priorities in the market, impacting client loyalty, employee engagement, and business results. You will proactively recommend and implement changes to improve efficiency, team engagement, assist with reporting analyses, and build relationships with internal partners to support the RVPs’ work.

This is a job share Thursday to Wednesday alternating weeks reporting to both Retail RVP and Commercial VP. Knowledge of both Retail and Commercial would be an asset.
What will you do?
  • Plan and monitor critical aspects of the market, such as operating expenses, staff cost budgets, the business unit’s recognition programs, client and staff event management, and internal regional communications processes;
  • Provide support to plan, organize and administer the RVPs’ calendar and ensures pre-preparation for all bookings;
  • Prioritize the RVPs’ time against the highest impact activities;
  • Actively manage incoming and outgoing correspondences and act as a point of contact between executives and employees/clients;
  • Support the RVPs with risk and compliance requirements, transit routines, and overall market office operations;
  • Prepare the RVPs for weekly, monthly and quarterly reviews & routines, including electronic documentation management and all information reporting; and
  • Coordinate technical aspects of on-boarding of new hires, including equipment orders and system access setup.
  • Uphold a strict level of confidentiality.
What do you need to succeed?
Must-have:
  • 2 – 4 years’ experience providing administrative support to senior leaders.
  • Advanced knowledge of Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, clients, external partners and donors.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Experience providing administrative support.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
