  • Schedule meetings, travel, and appointments with priority on critical items.
  • Coordinate meetings including agenda, logistics, and action-item follow‑ups.
  • Develop internal communications aligned with the VP's voice and DS brand.
  • Provide project coordination by tracking timelines and deliverables.
  • Oversee daily office operations including facilities, vendors, and reception.

Job Description:

We are searching for the best talent for an Executive Assistant. This hybrid role will be in Markham, Ontario, Canada.

Johnson & Johnson announced plans to separate our Orthopaedics business to establish a standalone orthopaedics company, operating as DePuy Synthes. The process of the planned separation is anticipated to be completed within 18 to 24 months, subject to legal requirements, including consultation with works councils and other employee representative bodies, as may be required, regulatory approvals and other customary conditions and approvals.

This position will support the Vice President, Canada DePuy-Synthes. This central role involves providing comprehensive organizational support in 4 main domains:

  • Ensuring the smooth operation of the executive office, including overseeing office management, preparing and coordinating confidential information, managing complex schedules and enabling the productivity of the Regional Vice President function.
  • Coordinating individual and group meetings on behalf of the Vice President, including Leadership Team meetings, external engagements and Town Halls.
  • Developing and implementing effective internal communications strategies across a variety of communication channels, including acting as the voice of the Vice President and supporting internal corporate communications.
  • Provide project coordination support by driving timelines, tracking deliverables, and ensuring effective cross-functional alignment on key initiatives led by the Vice President.
Key Responsibilities:
  • Maintain a high degree of confidentiality while managing the Vice President's calendar and communications.
  • Schedule meetings, appointments, and travel arrangements while prioritizing activities effectively.
  • Organize and coordinate meetings, including agenda preparation, logistical arrangements, and follow‑up on action items.
  • Develop organizational announcements and communications that convey complex information clearly and effectively, aligned with the Vice President's voice and the DePuy-Synthes (DS) brand.
  • Understand and lever different communication channels to optimize engagement and impact. Collaborate with senior leaders and departmental teams to facilitate information flow and streamline processes across the organization.
  • Prepare expense reports, incurred while on domestic and global travel and require consideration of and compliance with healthcare compliance requirements, in a detail‑oriented, timely and compliant manner.
  • Manage daily office operations, including facilities, supplies, vendor relationships, and reception services to ensure a safe, organized, and efficient workplace
