Position Overview
We are seeking a
highly organized, proactive, and warm-hearted Executive Assistant to support our President and CEO at our Cambridge, Ontario headquarters. The right candidate will be a natural multitasker who brings structure to busy days and thoughtful touches to every detail—yes, even bringing coffee or water when needed.
You’ll be a true right hand: coordinating schedules, managing confidential matters, handling logistics, and most importantly,
keeping everything and everyone on track.
Key Responsibilities
- Manage and prioritize the President & CEO’s calendar, meetings, and appointments
- Anticipate needs and provide thoughtful day-to-day support (including refreshments!)
- Liaise with stakeholders, vendors, and internal teams to coordinate meetings and events
- Organize Board materials, agendas, and take clear action-oriented meeting minutes
- Manage travel arrangements and prepare detailed itineraries
- Prepare and process expense reports, documents, and internal communications
- Handle confidential information with discretion and professionalism
- Support ongoing projects, reporting, and ensure deadlines are met
- Maintain document filing systems and assist with presentation material
- Be the go-to person for keeping the executive team organized and supported
What You Bring
- 5+ years of experience in executive-level administrative support
- Post-secondary diploma in Business Administration or related field
- Exceptional time management, organization, and communication skills
- Proactive mindset and a “can-do” attitude—someone who’s always a step ahead
- High level of discretion and confidentiality
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); Visual 9 is a plus
- Professionalism and warm interpersonal skills—you enjoy taking care of others
- Ability to multitask and stay calm under pressure in a fast-paced environment
