Acute Care Alberta is seeking an Executive Administrative Coordinator to support the CEO's office in a fast-paced, public-health environment. You will manage the CEO's calendar, coordinate complex meetings, and ensure materials are prepared for every engagement.

As Executive Administrative Coordinator, you’ll play a pivotal role supporting the Chief Executive Officer of Acute Care Alberta,In this dynamic environment, you will provide complex administrative support, ensuring seamless day-to-day operations and scheduling. You’ll serve as the first point of contact for the Chief Executive Officer’s office, representing professionalism and excellence.This position provides comprehensive scheduling and administrative support services ensuring the CEO’s day is prepared and office runs smoothly. It is an exciting time to join the organization, as the province works to re-imagine and re-organize healthcare administration and delivery. Acute Care Alberta is the provincial health agency that is responsible for and oversees hospitals, urgent care centres, cancer care, organ transplantation and emergency medical services across Alberta. We work with partners across the health system to coordinate care and drive improvements in areas that matter most to patients. This position is on-site and location is negotiable within the Calgary and Edmonton Zones.
Key responsibilities include: managing the CEO’s calendar; prioritizing appointments and proactively resolving conflicts; ensuring the CEO is prepared with meeting materials; proactively creating and maintaining effective work-flow to accomplish the work of the office which includes the handling of a variety of projects and tasks simultaneously; providing support to committees; gathering, compiling and relaying confidential information and material; making travel arrangements; compiling the necessary background and documentation material for meetings; ; preparing office expense claims; reviewing, taking action and distributing incoming correspondence and responding directly to day-to-day phone, email and in person inquiries. Issues Management: Is responsible for the effective administration and coordination and management of information, correspondence, facts and data. Financial Management: Supports oversight on portfolio budgets, and resources.
Minimum of High School Diploma and a Post- Secondary Diploma, preferably in office or Business Administration. Minimum of 3 years of experience supporting at the executive level and preferably with a background in a healthcare environment (combination of formal education, training, and experience will be considered).
Excellent knowledge of political sensitivities and the interests of diverse stakeholders. The ability to work in a fast-paced environment with agility. Considerable ability to stay focused, efficient, and effective in managing multiple priorities within tight deadlines. Excellent problem-solving skills and analytical thinking. Strong working knowledge of Microsoft Office software. Ability to work with a high degree of independence. Strong interpersonal skills, diplomacy and good judgment. Excellent calendar management skills, including the coordination of complex senior level meetings. Excellent written and verbal communication skills. Excellent work ethic. Attention to detail. Reliability and personal suitability must be demonstrated. Demonstrated ability to handle confidential information appropriately.
