Job summary

RBC in Toronto is seeking an experienced Executive Assistant to provide direct support to the Vice Presidents and senior leadership team. You will manage calendars, coordinate travel and prepare correspondence and materials for meetings, town halls, and events.

The role requires 5+ years of administrative experience, strong diplomacy, and excellent MS Office skills. You will liaise with leadership and partners, maintain records, and ensure timely action on requests while upholding RBC policies.

Qualifications

  • 5+ years of executive administration or coordination experience.
  • Experience supporting senior leaders and handling confidential information.
  • Strong interpersonal and diplomacy skills.
  • Excellent calendar management and scheduling abilities.
  • Proficiency with Microsoft Word, PowerPoint, Excel and Outlook.

Responsibilities

  • Act as the key contact for the executives you will be supporting.
  • Calendar management including prioritizing, scheduling, and managing conflicts.
  • Monitor a dedicated inbox to help manage meeting proposals, action items and address and delegate inquiries.
  • Support the overall objectives of the Senior Management Team with the coordination of meeting planning and materials, including providing administrative support, organizing of team meetings, helping with town hall meetings, etc.
  • As required, follow up on any agenda items or deliverables including coordination with facilitator and presenters to deliver materials in a timely manner.
  • Coordinate travel and hotel arrangements for the team, as needed.
  • Manage the senior executive’s and leadership team’s supplier relations, maintain records and business expenses, and ensure invoices and bills are promptly paid; prepare and approve expenses according to delegated authorities.
  • Maintain team vacation schedule and up-to-date records for the executives and their direct reports within the Vacation & Absence Management (VAM) system.
  • Organize communication sessions, employee recognition celebrations, and other team events.
  • Coordinate arrangements for employee changes and onboarding plans for new hires, including equipment and premises requirements and ensuring adherence policies and procedures.
  • Raise awareness among the team, extend invitations to key business partners, maintain effective knowledge of all relevant resources and services available within organization.
  • Proactively seek opportunities to provide additional value to ensure all established deadlines/commitments are met.

What is the Opportunity?

As an Executive Assistant, you play a critical role by providing direct support to the senior leadership team within RBC. This role will support the Vice President, T&O Strategic Program Office and Vice President, Enterprise Architecture . You will be accountable for managing schedules, departmental events and executive correspondence to ensure the effectiveness of the executive leadership team. In addition, you will liaise with RBC Leadership and business partners on behalf of the leadership team, follow-up on action items, maintain calendars, coordinate travel arrangements, maintain and organize files, prepare correspondence and other presentation materials, and prepare / act as a pre-verification officer for department expense reports.

What do you need to succeed?
  • 5+ years of executive administration or coordination experience, providing support to senior level management
  • Strong interpersonal and diplomacy skills and comfort in dealing with individuals across all levels of the organization
  • Strong organizational skills and attention to detail; an ability to multi-task and prioritize
  • Ability to work in a fast-paced environment and deal with change and continuously shifting requirements
  • Ability to work efficiently and accurately with minimal supervision
  • Highly proficient in Microsoft Word, Power Point, Excel, Outlook.
  • Strong organizational skills including ability to organize, plan and schedule activities and strong calendar management/scheduling skills
  • Ability to anticipate needs and flag questions or opportunities
  • Strong communication skills, both written and oral
