Job summary

Fluid Events Inc. in Toronto is seeking an Event Manager who can own events end-to-end—from kickoff to load-out—and grow into a Producer as the company takes on larger galas and conferences. You’ll lead planning, budgets, vendors, and client relations, and you’ll use AI daily to accelerate delivery.

You’ll join a small, senior team and advance as the company expands, with a clear path to Producer and opportunities to shape a growing portfolio of nonprofit events.

Qualifications

  • You've already run events in a lead role.
  • Experience with fundraising events (galas, walks, runs) is a big asset.
  • You build run-of-shows that matter—the backbone of a smooth event, not just a document.
  • You build genuine relationships with vendors and know how to get the best from them.
  • Wildly organized, unflappable under pressure, obsessed with the details.
  • A strong communicator, able to own a budget and a timeline.
  • Genuinely excited by nonprofit missions and the people they serve.

Responsibilities

  • Lead planning and logistics on a portfolio of events, from kickoff to load-out
  • Own client management — the relationship, the updates, the trust — for your events
  • Build and manage budgets, timelines and run-of-shows that actually matter
  • Build and nurture real relationships with our vendors
  • Partner with the team on production, digital assets, decks and onsite execution
  • Use AI every day to work faster and smarter (a lot more on this below)

About Fluid Events

For 11 years, Fluid Events has been one of Toronto's go-to agencies for nonprofits, associations and foundations — producing galas, conferences, walks, runs and community experiences that raise real money and move people. We're small, senior, and we punch well above our weight.

We also build our own event technology (eventmate), and we run on a simple belief: creativity + operations + AI is how a boutique agency scales like a big one.

The Role
Event Manager — Fluid Events

Location: 2229 Kingston Road, Toronto (Birchmont & Kingston) — in the office 3 days a week Type: Full-time, permanent · car preferred · monthly travel allowance Compensation: $75,000 to start, with a real path to Producer Apply by: August 20, 2026 · info@fluidevents.ca

The Role

We're a small team, and we're growing — which means this is a chance to join at a moment that matters, take on real ownership, and grow as the company does. We need an Event Manager who can own events end-to-end — planning, logistics, budgets, vendors, run-of-show, client management — and grow into a Producer as we take on more. You'll work alongside our Director, our production specialist and our founder, and you'll be trusted with real events fast (think galas and conferences, not fetching coffee).

What you'll do
  • Lead planning and logistics on a portfolio of events, from kickoff to load-out
  • Own client management — the relationship, the updates, the trust — for your events
  • Build and manage budgets, timelines and run-of-shows that actually matter
  • Build and nurture real relationships with our vendors
  • Partner with the team on production, digital assets, decks and onsite execution
  • Use AI every day to work faster and smarter (a lot more on this below)
Who you are
  • You've already run events in a lead role — you can jump in with very little hand-holding
  • Experience with fundraising events (galas, walks, runs) is a big asset
  • You build run-of-shows that matter — the backbone of a smooth event, not just a document
  • You build genuine relationships with vendors and know how to get the best from them
  • Wildly organized, unflappable under pressure, obsessed with the details
  • A strong communicator clients instantly trust, comfortable owning a budget and a timeline
  • Genuinely excited by nonprofit missions and the people they serve
The non-negotiable: you work WITH AI

This matters to me more than anything else on this list, so I'm putting it front and centre.

I use AI every single day to do more, faster — and I need someone who does the same (or is hungry to). This isn't 'have you heard of ChatGPT.' I mean you actually build with AI: drafts, decks, timelines, budgets, research, whole systems. If AI isn't already part of how you work, this probably isn't the role for you — and that's completely okay.
