Job summary

Raymond James Ltd. in Toronto is seeking an experienced Event Coordinator to plan and execute high‑profile internal and external corporate events for advisors, clients and employees.

This resident role reports to the Senior Manager, Corporate Events & Sponsorships and requires in‑office presence three days a week. You will collaborate with marketing, compliance and vendors, manage budgets and timelines, and ensure events align with brand standards while mitigating risks.

Qualifications

  • Bachelor’s degree in Event management, Marketing or related field.
  • 2+ years of event planning experience, preferably in financial industry.
  • Strong organizational skills and attention to detail.
  • Excellent communication and negotiation abilities.
  • Ability to work independently and as part of a team.
  • Flexibility to work evenings and weekends as needed.

Responsibilities

  • Assist in the execution of corporate events, including conferences, community engagement initiatives, corporate meetings and networking functions.
  • Collaborate with internal stakeholders to define event objectives, messaging, themes and target audiences.
  • Assist with event budgets, forecasts, expenses and reconciliations for cost‑effective planning.
  • Coordinate event logistics including venue sourcing, contracts, catering, A/V, travel and onsite operations.
  • Develop and execute engaging event themes and maintain detailed timelines and run‑of‑show documents.
  • Liaise with internal clients and external vendors to ensure deliverables, service standards and contracts are met.
  • Ensure events comply with policies, brand standards and industry regulations.
  • Identify and mitigate risks related to logistics, safety, compliance and reputation.
  • Assist with onsite execution and real‑time decision‑making during events.
  • Manage the internal events inbox and escalate items as needed.
  • Mentor volunteers or marketing team members as required.
  • Evaluate event success through post‑event reporting and ROI analysis.

Event Coordinator
How does the role impact the organization?

Reporting to Senior Manager, Corporate Events & Sponsorships, the Event Coordinator plays a key role in the planning and execution of high-profile internal and external corporate events for advisors, clients and employees. These events strengthen brand reputation, foster relationships and support strategic messaging while reinforcing the firm’s client-first culture and contributing to business development and client retention.

Positioned within Corporate Communications & Marketing, the role ensures all events align with corporate strategy, key messages and brand standards, and collaborates closely with leadership, marketing, corporate communications, compliance and external vendors. This is a resident role based in the Toronto office requiring a minimum of three (3) days per week in office. The role also requires regular in-person presence for vendor and partner meetings, onsite events, site inspections, and travel, as required, to support firm events and programs.

What will your role be responsible for?
  • Assist in the execution of all aspects of corporate events, including conferences, community engagement initiatives, corporate meetings, and networking functions
  • Collaborate with internal stakeholders across business units to define event objectives, messaging, themes, and target audiences
  • Assist with event budgets, forecasts, expenses, and final reconciliations to ensure cost‑effective planning and financial accountability
  • Coordinate event logistics, including venue sourcing and contract negotiation, catering, audio‑visual production, transportation, accommodations, and onsite operations
  • Contribute to event creativity, including developing and executing engaging themes for various events.
  • Develop and maintain detailed event timelines, production schedules, run‑of‑show documents, and communication plans
  • Liaise with and manage internal clients as well as external vendors, sponsors, agencies, and partners to ensure deliverables, service standards, and contractual obligations are met
  • Ensure all events comply with company policies, brand standards, and applicable industry regulations
  • Proactively identify and mitigate risks related to logistics, safety, compliance, and reputation
  • Assist with onsite execution and real‑time decision‑making during events, resolving issues quickly and professionally
  • Manage the internal events inbox, including monitoring messages, responding as appropriate, and escalating items as needed.
  • Mentor volunteer or marketing team members as required
  • Evaluate event success through post‑event reporting, stakeholder feedback, and ROI analysis to inform continuous improvement and future planning

Desirable:
  • Hands on working knowledge of event and marketing platforms, with Swoogo considered a strong asset alongside tools such as Adobe, Box.com, TripBuilder, Advisor Stream
  • Working knowledge of virtual and hybrid event platforms including Zoom and Microsoft Teams
  • Strong skills in Microsoft Excel, PowerPoint, and Outlook with the ability to manage data, and support complex event workflows

Salary Range: $60,000 - 72,000 annually, in addition to competitive performance bonuses/incentives.

Actual compensation will be determined based on skills, experience, internal equity, and other job requirements.
