Job summary

Green Infrastructure Partners (GIP) is seeking a Pre-Construction Coordinator to support Estimating and Operations across Ontario. The role focuses on tender preparation, coordination of bid documents, and coordinating with bonding/insurance providers.

Key responsibilities include organizing tender materials, converting bid items to Excel, and ensuring accuracy before tender closes. A strong background in construction bidding systems and APMP/Shipley practices is preferred.

Qualifications

  • Post-secondary education or professional equivalent experiences.
  • Experience supporting proposal development using APMP/Shipley methodologies in a bid team.
  • Capable of reading and interpreting tender document requirements.
  • Proficient in reviewing and interpreting tender requirements.
  • Knowledge of bidding systems is an asset.

Responsibilities

  • Coordinate and assist with Bonding/Insurance forms with estimators and bonding company.

Job description

Reporting to the Pre-Construction Manager, the Pre-Construction Coordinator will be responsible for supporting the Estimating and Operations teams in the successful preparation of competitive bids on various construction projects across the province of Ontario.

PRIMARY SCOPE OF ROLE
  • Order and print tender documents, upload tenders to the internal shared drive and execute printed copies.
  • Coordinate and assist with the Bonding/Insurance request forms with the estimators and Bonding company.
  • Convert Bid items into Excel to allow for easy upload it into InEight Estimate program.
  • Organize, log, distribute and save bid inquiries and addenda.
  • Maintain Tender list and Hard Dollar files with changes as required.
  • Prepare tenders for submission including but not limited to: coordination of signatures, org charts, resumes, project experience, bonding, CAD reports, WSIB certificates, etc.
  • Facilitate dry-runs with the estimator prior to Tender closing to ensure all information is accurate.
  • Write Tender pricing by hand or entering unit prices via Bids & Tenders for non-MTO tenders.
  • Submission of MTO tenders on RAQS/MERX, including submission of TRF’s, Summary Bid Submission Forms, and Itemized Bid Forms.
  • Distribute the tender results internally and to the bonding company.
  • Order WSIB certificates and CVOR upon expiry, file electronically, and distribute.
  • Preparation, coding, processing, distribution, tracking, and filing of subcontracts and related documents.
  • Process Contracts on awarded Tenders.
  • Update project & insurance tracking spreadsheets.
  • Collaborate with Contracts Manager for the Notice of Project.
  • Prepare and update resumes of key personnel.
  • Assist with pre-qualifications, expression of interests’ and RFP’s.
  • Other duties as assigned.
POSITION REQUIREMENTS
  • Post-secondary education or professional equivalent experiences.
  • Knowledge of the following bidding systems: RAqs, Bids & Tenders, Biddingo, MERX, Metrolinx, Bonfire, Ariba is an asset.
  • Strong computer skills – working knowledge of Microsoft Software including: Teams, Outlook, Word (specifically formatting) and Excel.
  • Experience supporting proposal development using APMP best practices or Shipley methodology, including color team reviews, compliance matrix development, and strategic bid coordination.
  • Capable of reading and understanding Tender document requirements.
  • Proficient in reviewing and interpreting the requirements outlined in tender documents.
  • Outcome focused, critical thinker with the ability to analyze and visualize to ensure continuous improvement across our business.
  • Ability to connect and interact with people to seek different perspectives.
WHAT WE OFFER
  • Expected Base Salary: $58 000 – $65,000 per year. The actual base salary will depend on several factors including experience, qualifications, internal equity, work location and market expectations.
