About the Role

The Executive Assistant to the CEO and COO is the linchpin of our daily operations, providing seamless administrative support and enabling us to focus on strategic leadership. You will be the first point of contact for key partners and stakeholders, requiring exceptional communication skills and a diplomatic touch. This role demands a highly organized, proactive individual with a keen eye for detail and the ability to anticipate needs before they arise. You are based in the Sudbury (Ontario) area and can work remotely.

Responsibilities (but not limited to!)

  • Masterful Calendar Management : Juggle complex schedules, coordinating meetings, travel arrangements, and speaking engagements with finesse.
  • Communication Champion : Craft professional correspondence, manage incoming and outgoing communications, and liaise between the executive team and internal / external stakeholders.
  • Travel Guru : Plan and execute intricate travel itineraries, ensuring smooth and efficient travel experiences.
  • Meeting Maestro : Prepare agendas, record minutes, and ensure seamless execution of board meetings, executive meetings, and other key events.
  • Project Support : Assist with special projects, research initiatives, and presentations, demonstrating your ability to think strategically and contribute meaningfully.
  • Confidentiality Keeper : Handle sensitive information with the utmost discretion and professionalism.
  • Gatekeeper Extraordinaire : Manage access to the executives, prioritizing requests and ensuring efficient use of their time.
  • Digital Organization Virtuoso : Maintain and optimize the company's digital filing system (e.g., shared drives, cloud storage) and project management system, ensuring efficient organization, easy retrieval of information, and data security.
  • Relationship Builder : Cultivate strong relationships with internal and external stakeholders, representing the Aazhoganike Family of Companies professionally and respectfully.
  • Reliable Errand Coordination : Ensure smooth daily operations by efficiently handling errands, including picking up and dropping off mail, dry cleaning, bank deposits, couriering documents, and managing time-sensitive deliveries in the Greater Sudbury area with precision and discretion.

Ideal Profile

  • Proven experience (5+ years) as an Executive Assistant supporting C-level executives.
  • Exceptional organizational skills and attention to detail.
  • Excellent communication (written and verbal) and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and a proactive approach.
  • Lived experience or experience working with Indigenous communities or organizations is a definite asset.
  • A deep understanding and respect for Indigenous cultures and values.
  • Experience in a project-based environment is an asset.
  • Proficiency in Google Workplace, Microsoft Office, Adobe, project management systems and virtual meeting software is an asset.
  • Willingness and proven ability to work remotely.
  • Ability to attend regular meetings in person in Sudbury, ON.
  • Possess a valid G driver's license and access reliable transportation to attend to various support tasks in the Sudbury, ON area, including office mail pickup and processing, banking deposits etc.

What We Offer

  • Compensation is to be negotiated and commensurate with qualifications and experience; however, we anticipate an annual range from $60,000 to $80,000 plus a health spending account and four weeks of paid vacation to start.
