Base Pay Range

CA$17.20 / hr - CA$17.20 / hr

Role Overview

We are seeking a motivated Administrative Assistant to support our growing teams at Science Featured and Science Bridges . This position will be hybrid —primarily based in Ottawa—with the flexibility to work remotely on certain tasks upon managerial approval. The role involves a broad range of responsibilities, from administrative duties and content creation to event coordination and online reputation management.

Key Responsibilities

Administrative Support :

  • Draft and respond to emails, handle routine inquiries, and manage calendars for team members.
  • Organize files (both physical and digital), maintain office supplies, and ensure smooth day-to-day operations.

Document & Content Creation :

  • Prepare and edit organizational documents, including training materials , grant applications , and internal / external presentations .
  • Write articles, newsletters, and other written content that aligns with our mission and communication goals.

Event & Meeting Coordination :

  • Schedule meetings, conferences, and workshops (online and in-person).
  • Prepare agendas, record minutes, and track action items for follow-up.
  • Represent the organization during voice / video meetings or in-person events as needed.

Communication & Relationship Building :

  • Serve as a point of contact for staff, partners, and community stakeholders.
  • Maintain regular communication with various teams to provide updates on tasks, deadlines, and any issues.

Online Visibility & Reputation Management :

  • Provide administrative support for social media and other online platforms.
  • Monitor and respond to online inquiries or comments to uphold and enhance organizational reputation.

Additional Duties :

  • Adapt to the evolving needs of Science Bridges .
  • Perform other related duties as assigned, up to a maximum of 40 hours per week.

Qualifications

  • Prior experience in administrative support or office coordination is preferred.
  • Strong written and verbal communication skills; ability to draft clear, concise emails and articles.
  • Excellent organizational and time-management skills, with attention to detail.
  • Ability to handle multiple tasks simultaneously and meet deadlines.
  • Proficient with standard office software (e.g., Microsoft Office, Google Workspace).
  • Experience with social media management or content creation is a plus.
  • Comfortable representing the organization in various forums, both in-person and online.
  • Ability to maintain confidentiality and discretion with sensitive information.
  • Starting Hours : Approximately 6 hours per week, with potential to increase as needed—up to 40 hours per week.
  • Compensation : Hourly wage, in line with the Ontario minimum wage .
  • Conversion to Full-Time Payroll : Possible upon mutual agreement and based on performance and organizational needs.
