Job Summary
Reporting to the Chief Information Officer, the Business Solutions Specialist leads the assessment of functional unit (HR, Payroll, Finance, Student) needs within the College’s Enterprise Resources Planning system (ERP), Customer Relationship Management (CRM), Learning Management System (LMS), and related business systems, applications, and integrations. The role involves process analysis, requirements gathering and design, as well as providing functional support for integrations, reporting, testing, and producing technical and training documentation.
Specific Duties
- Provides expert technical support for the College’s business systems, including process improvement recommendations, requirements analysis, managing functional issues, resolving technical problems, managing user accounts, and supporting College operations.
- Prepares and maintains accurate documentation related to system configurations and maintenance, and develops accessible training materials (documentation, videos, wikis, etc.).
- Liaises with functional areas and other Business Solutions Specialists to support College-wide process development and technical support.
- Collaborates with the ITS team to ensure system maintenance and upgrades are tested and properly implemented.
- Develops reports for functional areas.
- Ensures assigned systems, applications, and integrations comply with College policies, service agreements, FOIPPA, and other relevant regulations.
- Works with the ITS team to design and maintain custom workflows.
- Coordinates with functional areas on projects related to ERP, SQL reporting, development, and system administration to optimize system utilization.
- Supports ITS with data conversion mapping.
- Builds and maintains positive relationships with functional units, team members, vendors, and other stakeholders.
- Collaborates with Policy, Planning, and Strategy teams on project management and implementations.
- Provides backup support for other Business Solutions Specialists.
- Offers technical training on system upgrades and features.
- Leads requirements analysis, change management, and project management initiatives for business solutions.
- Advises the ITS team on potential system or maintenance issues affecting performance or security.
- Contributes to the College’s mission and supports learner needs.
- Maintains professional communication and mutual respect in interactions with students and colleagues.
- Performs other duties as assigned.
Skills & Qualifications
- Bachelor’s degree or higher in Computer Science, Information Science, or a related field.
- Minimum of 3 years’ experience in business process analysis, reporting, technical support, or ERP support, preferably in a post-secondary setting; equivalent education and experience may be considered.
- Experience in implementing and configuring systems such as ERP, CRM, LMS.
- Strong analytical, diagnostic, decision-making, and problem-solving skills.
- Ability to interpret data and generate insights using tools like Excel, SQL, or data visualization/reporting software.
- Excellent communication skills, capable of presenting complex information clearly and writing technical documentation.
- Strong project and change management skills.
- Knowledge of post-secondary operations (student lifecycle, financial, and HR processes) is a strong asset.
- Ability to work independently and exercise sound judgment.
- Proficiency in collaborating with cross-functional teams and communicating technical solutions effectively to non-technical audiences.
- Creativity in translating functional needs into technical solutions.
- Experience in testing solutions to ensure they meet requirements.
