Job Description

In accordance with the Vision, Purpose, and Values, and strategic direction of the Vancouver Island Health Authority (Island Health), patient and staff safety is a priority and a shared responsibility. Continuous improvement in quality and safety is inherent in all aspects of this position.

Reporting to the designated Manager or Supervisor, the Coordinator, Project Office, is responsible for coordinating and communicating information within the Project and with key stakeholders.

The Coordinator maintains primary project coordination responsibilities for designated areas and provides confidential administrative and clerical support for project planning, management, communications, research, and contract administration during the planning, design, and implementation phases. This includes ensuring streams meet their targets and goals in a timely and cost-effective manner. The role may also involve preparing contractor invoices for approval, monitoring and drafting contract amendments, preparing agendas, recording and producing minutes of project team meetings, making travel arrangements, and scheduling/coordinating meetings.

Qualifications
Education, Training, and Experience

Recognized Bachelor's Degree in Business or Project Management, supplemented with three (3) to five (5) years of recent related project management or coordination experience with facilities projects within a large, complex organization, or an equivalent combination of education, training, and experience.

Skills and Abilities
  • Demonstrated competencies in cultural safety and humility.
  • Basic to intermediate project management/coordination knowledge and experience.
  • Knowledge of and abilities in project management and process coordination.
  • Ability to conduct detailed research and analyze findings and data.
  • Ability to plan, multi-task, organize, problem-solve, and prioritize work.
  • Effective communication skills, both oral and written.
  • Excellent interpersonal skills and the ability to work collaboratively at all levels.
  • Experience in coordinating complex meetings with internal and external contacts.
  • Ability to work independently using initiative and judgment.
  • Ability to handle confidential information with tact and discretion.
  • Ability to work in a team environment with minimal supervision.
  • Proficiency in typing and office management support.
  • Intermediate to advanced skills in computerized software, databases, and systems (e.g., SharePoint), Microsoft Office Suite, and Microsoft Edge.
  • Physical ability to perform the duties of the position.
