On behalf of our client in the consulting sector, PROCOM is seeking a Business Centre Clerk - Mail Clerk.
Responsibilities:
- Support internal clients by providing mail and courier services and assist with special client-related projects.
- Maintain excellent organizational, analytical, and communication skills with a basic understanding of time management.
- Enhance customer care within the Business Centre by responding to issues, concerns, and providing information.
- Regularly check the Business Centre database for client requests.
- Log and distribute faxes with scheduled mail runs.
- Receive, check, and log inbound courier packages on the Premier Office system.
- Sort and distribute daily inbound/outbound interoffice mail, including Staples orders.
- Load/unload mail carts and complete mail deliveries twice daily.
- Sort and pack interoffice mail for scheduled runs to other GTA locations.
- Notify clients of rush inbound packages and envelopes.
- Manage mail without recipient’s name on the iClient and mail distribution sheets, and post unidentified mail on the Notice Board.
- Sort and process Canada Post incoming/outgoing mail, including Registered mail, using the Pitney Bowes System, and perform maintenance of mailing machines.
- Use the Premier Office database to track outgoing couriers and update with tracking info.
- Prepare and process Registered and Xpress Post Mail via Canada Post SendPro system.
- Input domestic and international courier info using FedEx & DHL systems and the Premier Shipping tool.
- Monitor courier delays with FedEx & DHL alerts, update delivery info as needed to expedite.
- Process inter-office domestic mail three times weekly.
- Operate key office equipment, ensuring supplies are replenished.
- Update client staff list and mail slots; inform new hires of their mail slot locations.
- Pick up courier packages at scheduled intervals.
- Issue and maintain security visitor passes.
- Log projectors for internal/external use and manage inventory via the Premier Office Equipment database.
- Maintain supplies in the convenience center and monitor staples in the copy room, replenishing as needed.
- Order Staples supplies weekly and log orders.
- Receive/deliver large cartons to internal clients.
- Perform monthly Health & Safety floor checks.
- Coordinate with the Business Centre Supervisor/Manager to meet customer service objectives.
Mandatory Skills:
- 3+ years relevant experience in office services.
- Experience working in a Professional Services Firm preferred.
- Proficiency with Google Suite and Microsoft Office.
- Strong organizational, analytical, and communication skills with basic time management understanding.
- Detail-oriented with the ability to work independently and meet deadlines.
- Professional demeanor.
Preferred Skills:
- Experience in a Professional Services Firm preferred.
- Available for an ASAP start, with a contract duration of approximately 6 months.
