Job description

The Laboratory Clerk performs an administrative-support role for NAVANA Labs in Hinton, AB and reports to the Vice President of Canadian Labs. The Laboratory Clerk's responsibilities and duties are carried out in accordance with ISO 17025 compliance.

The Laboratory Clerk is the first point-of-contact for anyone visiting or calling the laboratory and is required to perform tasks such as answering the phone, receiving samples and shipments, ordering and receiving supplies, filing quality documentation, data entry, and inventory management.

The Laboratory Clerk shall work Monday to Friday, 09 : 00 – 15 : 00.

Responsibilities

  • Direct all phone calls as necessary and maintains Visitors Log;
  • Process, scan, and file daily analytical backup data;
  • Maintain record of laboratory documentation to comply with ISO 17025 standards;
  • Maintain inventory of internal forms for laboratory staff;
  • Communicate with external sources regarding company accounts, orders, and equipment;
  • Coordinate with VP of Finance to generate or make changes to corporate accounts;
  • Process all procurement needs for NAVANA Labs Hinton including sourcing quotes and comparing prices;
  • Manage shipping, receiving, and storing of laboratory equipment and supplies;
  • Maintain and transmit accounts receivable and accounts payable records to the VP of Finance;
  • Assist other laboratory staff with tasks as directed by Management;
  • Communicate with colleagues to provide important information related to operations;
  • Maintain confidentiality of highly sensitive information in accordance with ISO 17025;
  • Process purchase orders (PRFs) in accordance with NAVANA Labs’ purchasing and approval procedures;
  • Maintain equipment and chemical inventory lists, and other related records to maintain compliance with ISO 17025;
  • Receive and log environmental samples into NAVANA Labs’ information management system (LIMS);
  • Prepare sampling equipment for customers;
  • Collect the mail from the mailbox and distribute it accordingly; and
  • Run local errands as requested.

Qualifications

  • High school diploma
  • Post-secondary education in a business, administrative, or financial field preferred but not required
  • Minimum 3 years in an administrative or purchasing role is preferred
  • Working knowledge of ISO standards
  • Working knowledge of accounting software such as QuickBooks or Sage Accounting
  • Proficiency with Microsoft applications
  • Strong verbal and written communication skills
  • Proven effective time management skills and a strong attention to detail
  • Capable of prioritizing tasks to meet goals
  • Must be able to lift and move equipment or supplies that weigh 50 lbs. or less
