Description

Under the authority of the Academic Dean, the Dean of Academic Systems and Registrar is responsible for the planning, development, organization, administration, control and evaluation of all services under the realm of the Registrar’s Office: Student Records, Registration, Scheduling, Admissions and Academic Advising. The incumbent is responsible for the selection and hiring, coordination, supervision, evaluation and development of the personnel under her/his supervision. The Dean of Academic Systems also manages the allocation of teacher resources, financial and material resources of the services under her/his responsibility and is accountable for the realization and achievement of established objectives. In collaboration with the Academic Steering Committee, she/he is responsible for the implementation and application of academic and pedagogical policies, procedures and regulations for the programs and disciplines in her/his sector, including the Student Success Plan. In the current context, the Dean of Academic Systems and Registrar will also supervise a restructuration of their sector to maximize efficiency and processes.

More specifically, but not limited to, the Dean of Academic Systems and Registrar:

College Registrar’s Office And Academic Advising

  • Is responsible for the provision and coordination of the following services for the College: Academic Advising, Admissions, Registration, Scheduling, Records, Allocation and Graduation;
  • Ensures that the enrolment validation process is optimal and that courses and enrollment data are transmitted to the Ministry of Education;
  • Is responsible for the development, implementation, application and revision of the policies, procedures and regulations related to Academic Systems, the Registrar’s Office as well as for Academic Advising;
  • Based on college provisions, determines student enrolment projections and the yearly academic calendar;
  • Provides the necessary support to the Continuing Education Sector in matters related to the Registrar’s Office services;
  • Collaborates with the Academic Dean, Director of Continuing Education and other Deans in the development of the annual academic objectives;
  • Establishes and controls the budget of the Academic Systems Office;
  • In the accomplishment of her/his mandate, coordinates with internal services and external organizations (particularly the Ministry of Education and SRAM) as required;
  • Ensures that on-line systems and services for students and faculty are functional and efficient;
  • Supervise the scheduling for teachers and students.

Allocation of Teacher Resources:

  • Is responsible for the preparation, calculation and verification of all data used in the development of the teacher staffing project. Prepares, calculates and verifies the teacher staffing project;
  • Is responsible for the overall allocation and the effective use of teacher quota;
  • In collaboration with HRS, monitors all teaching assignments, and where necessary recommends that appropriate action is taken so as to not exceed budgeted allocation;
  • Oversees department quotas to ensure that they are not exceeded once teacher staffing project has been established, and in collaborations with HR prepares the faculty surplus listing, and transfers faculty;
  • Supports Faculty Deans in verifying faculty CI calculations submitted during staffing process and approves acceptance or modifications;
  • Controls Course seats/faculty workload files throughout the registration process;
  • Conducts Impact analysis of proposed program changes and approves proposed operational changes to program grids and makes recommendations in consultation with the appropriate area;
  • Provides members of the College administration with updated statistical data related to such things as enrollment projections, staffing, etc;
  • Collaborates with other sectors managers as required regarding his areas of expertise;
  • Is responsible for the salary mass, and the presentation and approval of the project at CRT;

Other Related Responsibilities As Requested By The Academic Dean.

Qualifications

Requirements :

  • Graduate degree in an appropriate specialization, such as business administration or information systems, and a minimum of six (6) years of pertinent experience, preferably in the CÉGEP network.

Conditions Related To The Specific Position

  • Pedagogical Management experience and Cégep teaching Experience an asset;
  • Must be highly organized and have strong teamwork skills;
  • Must have very strong time management skills;
  • Ability to resolve problems of a complex nature;
  • Must possess strong interpersonal skills and excellent communication skills, written and oral, in both English and French (to be tested);
  • Experience in the development and implementation of computer systems from the user’s perspective;
  • Intermediate knowledge of Microsoft Excel and Word (to be tested).

The above criteria are established in accordance with provisions of Article 7-2.00 of the Policy for Management Personnel.
