Job description

We are currently seeking a Legal Support Assistant / Receptionist to join our Toronto team. This is an ideal entry-level position for a recent graduate of a Legal Administrative Assistant program looking to ease into the legal field with the mentorship of intermediate / senior level Legal Administrative Assistants and Paralegals. The successful candidate for this position will be able to build positive working relationships, have a keen eye for details, and handle a busy workload.

Responsibilities

  • Provide a positive first impression to visitors of the firm; greet clients and visitors, offer tea / coffee / water
  • Answer and forward incoming calls
  • Assist with set up and clean up for meetings and in-house professional development seminars
  • Create internal bookings for boardrooms
  • Process lawyer and office-related expenses
  • Assist with social events as needed (help with planning, preparation, clean up, etc.)
  • Send out paper mail (correspondence, copying for file, labels, etc.) and couriers
  • Provide support to Legal Assistants and / or Law Clerks and / or Lawyers as required
  • Draft basic emails to clients and attach necessary materials for review
  • Track and manage cheques
  • Send out cheques for payment and do bank runs
  • Handle file openings and closings
  • Manage housekeeping tasks (running the dishwasher, coffee machine, stocking the snack bar)

What will help you succeed in this role?

  • Graduate of a Legal Administrative Assistant program
  • Excellent English oral and written skills
  • Strong attention to detail
  • Professional manner in communicating with others
  • Strong organization, multi-tasking, and teamwork skills
  • Working knowledge of MS Office
  • Professional and polished attitude in communication
  • Legal office and / or administrative experience preferred
