Position Overview:

Under the supervision of the Controller, the Accounts Payable Coordinator plays a pivotal role in our organization, responsible for full-cycle accounts payable. This position demands meticulous attention to detail and the ability to work efficiently in a fast-paced, deadline-driven environment.

As an Accounts Payable Coordinator, you will be responsible for processing employee and vendor payments, ensuring accuracy, efficiency, and legislative compliance.

Key Responsibilities:

  1. Accurately manage and process accounts payable transactions in a timely and efficient manner.
  2. Process invoices using 3-way matching and ensure compliance with internal controls.
  3. Verify receipt of purchase order (PO) items, accurately code invoices, and confirm invoice details.
  4. Communicate any PO variances to the Supply Chain team for resolution.
  5. Direct non-PO invoices to the appropriate managers for review and approval.
  6. Process approved invoices into the ERP system.
  7. Provide general support to the accounting department as needed.
  8. Enter and process Direct Payment Requests.
  9. Set up new vendor accounts and maintain vendor information.
  10. Execute weekly cheque, wire, and EFT payment runs.
  11. Maintain accurate financial records and perform regular vendor account reconciliations.
  12. Respond promptly to vendor inquiries, resolve issues, and foster positive vendor relationships.
  13. Address and resolve discrepancies within accounts payable.
  14. Process employee expense claims through Certify, ensuring compliance with company policies.

Environmental and Social Responsibility:

  1. Support with the development, implementation, and monitoring of the organization’s environmental and social goals as they relate to your team. This includes establishing your team’s performance metrics in alignment with the organization’s sustainability strategy.
  2. Identify opportunities for innovation or continuous improvement to enhance the organization’s sustainability goals (such as waste reduction/diversion, circularity/plastic reduction, emissions reduction, sustainable procurement, local sourcing, etc.).
  3. Foster a culture of sustainability within the organization by encouraging your team’s participation in sustainability initiatives and committees (such as volunteering at community events, Sustainability Committee/DEI Committee participation, 1% for the Planet employee nomination contest, etc.).

Required Qualifications:

  • A minimum of 2 years of directly related work experience in accounts payable.
  • Knowledge of SAP/Esker is a strong asset.
  • Intermediate to advanced level in MS Excel.
  • Excellent time management and organizational skills.
  • Ability to work in a team with tight deadlines.
