What You'll Be Doing
- Greet and direct visitors to staff/department areas; answer and direct phone calls to the appropriate departments, relay messages, answer and refer inquiries
- Manage incoming regular and electronic mail and co-ordinate the flow of information; arrange courier service for outgoing and incoming delivery and direct inter-office mail; order office supplies as required and maintain inventory
- Provide administrative support to the Office Manager and other departments as required which includes processing invoices, wire, and vendor payment requests; reconciliation of PCard purchases, and processing cheque payments
- Maintain the main office employee and department directories; set up new and maintain existing manual and electronic filing systems; maintain a continual knowledge of company policies, rules, regulations, and procedures
- Schedule and assist in the preparation of meetings, boardrooms, and other office facilities; ensure tidiness of reception, administrative, and kitchen areas
What Are We Looking For
- Post-secondary administrative training would be considered an asset; minimum 3+ years administrative experience required
- Driven by results and committed to service excellence, with a strong ability to independently manage day-to-day administrative tasks
- High degree of organization, problem solving, and time management skills with the ability to prioritize, achieve goals, and meet deadlines in a fast-paced environment with attention to detail and accuracy
- Ability to interface with senior level executive roles internal and external to the organization; required to handle confidential and sensitive information with discretion and professionalism while maintaining a positive professional attitude and appearance at all times
- Advanced knowledge of MS Office Suite (Outlook, Excel, Word, PowerPoint, OneNote, etc.); experience with JDE and SAP preferred
