Qualifications

Job Description

The Accounting Assistant for Recreation, Parks and Culture supports the department with Supply Chain Management activities, specifically Accounts Payable and Purchase Orders. This role reviews expenditures for accuracy, timeliness, and compliance with corporate policies. It also assists with recurring journal entries, reporting, and cash balancing activities.

Key Responsibilities:

  1. Serve as the main contact for requisition creation, payment, and invoice inquiries related to supply chain management.
  2. Run and review monthly reports for Cost Center Supervisors, investigating variances as needed.
  3. Process One-Time Payments and Non-PO Invoices using corporate forms.
  4. Conduct monthly and year-end reviews of Open POs and support accrual processing.
  5. Respond to vendor and departmental inquiries regarding invoices and payments.
  6. Provide training and support on Oracle business processes to department staff.
  7. Coordinate with Procurement on procurement inquiries, change orders, and requisition issues.
  8. Review and suggest improvements to supply chain processes and procedures.
  9. Participate in Oracle Supply Chain Management updates and training, providing process recommendations.
  10. Assist with general accounting tasks such as accruals and journal entries.
  11. Perform daily cash reconciliations for the Broadmoor Public Golf Course and support cash audits.
  12. Support Treasury Services with stale-dated cheque management.

Qualifications and Skills:

  • High School Diploma with 5 years of related experience.
  • Proficiency in Microsoft Office Suite.
  • Basic accounting knowledge.
  • Knowledge of Oracle and SharePoint is an asset.
  • Ability to identify issues requiring investigation and resolve them.
  • Suggest improvements to policies and procedures for invoice processing.
  • High attention to detail.
  • Adaptability to changing priorities.
  • Strong time management skills.
