Document Controller

Genoa is currently recruiting a Document Controller to join our team in Mount Pearl, Newfoundland!

As a Document Controller at Genoa, you will play a vital role in supporting our project teams by managing and organizing project documentation with accuracy and efficiency. the day-to-day

As a Document Controller, your responsibilities include:

  • Oversee the document control function, ensuring compliance with corporate procedures and project-specific requirements.
  • Receive, review, monitor, and file all project documentation in accordance with established systems and protocols.
  • Implement and maintain hierarchical filing structures, including naming conventions, version control, and document supersession processes.
  • Coordinate project-wide document requests, ensuring proper formatting, identification, numbering, and controlled publication of documentation.
  • Maintain accurate document logs and ledgers to support traceability and accountability.
  • Conduct quality audits related to document control practices and identify opportunities for improvement.
  • Prepare and issue formal document transmittals as required.
  • Manage internal documentation workflows and support continuous improvement of documentation processes.
  • Deliver training on document control procedures, systems, and standards to team members.
  • Ensure confidentiality and proper handling of sensitive projects, company, and client information.
  • Contribute actively to a collaborative team culture, supporting project goals and cross-functional coordination.
  • Taking on additional duties as required to support the team and organization.
  • Minimum 3 years of document/record management experience in a technical environment.
  • A good working knowledge of Microsoft SharePoint.
  • Excellent computer skills including MS Office, Excel and One Drive.
  • Experience working with Document Management Systems and/or database applications.
  • The ability to work with minimal supervision.
  • Excellent communication, organizational, and interpersonal skills.
  • The ability to work in an integrated project team environment.

To be eligible for clearance and this position, candidates must be either Canadian citizens or permanent residents of Canada.
