We are recruiting a Document Specialist to join our offices in Montreal, Vancouver, Calgary, Quebec City, or Toronto. The ideal candidate will have at least 2 years of experience in document management, responsible for providing firm-wide document support, including creating, formatting, and proofreading documents.

Shift (remote): Friday, Saturday, and Sunday from 5:00 a.m. to 5:00 p.m. PT

Salary range (Vancouver only): $68,000 - $80,000

The salary may vary based on experience and skills.

Responsibilities:
  • Creating legal and other documents via typing, transcription, and scanning.
  • Converting styles, mail merges, inserting media, creating tables, working with graphs and graphics applications.
  • Proofreading for formatting, spelling, grammar, and clarity; comparing document versions and correcting errors.
  • Understanding firm procedures for document production.
  • Responding to requests, meeting deadlines, collaborating internally.
  • Applying word processing skills to complex documents.
  • Managing workload fluctuations independently.
  • Quality control, seeking clarification, reviewing others' work.
  • Mentoring team members when needed.
  • Prioritizing and coordinating document requests.
  • Supporting document production with Microsoft Office tools.
  • Logging and tracking support requests, responding promptly.
  • Managing escalation and problem ownership.
  • Reviewing procedures and suggesting improvements.
  • Performing other duties as assigned.
Ideal Candidate Profile:
  • College certificate in office administration, legal specialization, or related.
  • Minimum three years of professional experience, experience in document production is a plus.
  • Knowledge of legal terminology and documents is an asset.
  • Advanced Microsoft Suite skills.
  • Excellent interpersonal and communication skills.
  • Efficient knowledge transfer using various techniques and software.
  • Patience, flexibility, and stress management.
  • Meticulous, detail-oriented, and well-organized with proofreading skills.
  • Approachable, able to handle pressure.
  • Strong analytical and problem-solving skills.
  • Ability to work flexible schedules, including weekends and holidays.
  • Independent, prioritizes tasks, makes daily decisions, knows when to seek help.
  • Typing speed of 80-100 words per minute.
