Job summary

Mars is seeking a Distribution Centers Operations Coordinator to manage governance processes, operational reporting, and continuous improvement projects with our 3PL partner across Canadian distribution centers.

You will ensure 3PL business processes run efficiently, support inventory governance and stock accuracy, conduct audits, and travel regularly between Georgetown, Caledon and Guelph to maintain audit readiness and DQM compliance.

Qualifications

• Bachelor's degree in a related field.
• 2+ years of experience in Warehouse or 3PL operations.
• Proven track record of tracking and analyzing KPIs.
• Inventory Governance experience preferred.
• Lean or Six Sigma certification preferred.
• Willingness to travel regularly between sites.

Responsibilities

• Develop and monitor operational metrics and reporting schedules.
• Manage day-to-day adherence of 3PL providers against SLAs and KPIs.
• Lead Lean and continuous improvement initiatives for DC operations, dock efficiency, and throughput.
• Ensure DQM compliance and conduct daily/weekly/monthly on-site audits.
• Coordinate internal and external supply chain audits and risk assessments.
• Audit operations invoices against approved contract rate cards and budgets.
• Support contingency planning for DC operations during interruptions.
• Track inbound/outbound freight, cross-dock movements, and returns processing.
• Develop and maintain SOPs, work instructions, and internal controls.
• Audit 3PL count governance and reconcile WMS with ERP stock records.
• Assist with product holds, lot releases, and traceability reconciliations with QA and supply chain teams.

Job Description:

The primary responsibility of the Distribution Centers Operations Coordinator is to manage governance processes, operational reporting, performance metrics, and continuous improvement projects in relationship with our third-party logistics (3PL) provider across Canadian Distribution Centers. The position ensures that 3PL business processes run efficiently, while proactively identifying and mitigating operational risks, upholding Distribution Quality Management (DQM) compliance, and maintaining audit readiness.

Additionally, the role supports inventory control governance and stock accuracy, providing ongoing support with warehouse cycle count audits, book-to-physical inventory reconciliation between WMS and ERP systems, variance investigations, and stock health tracking.

What are we looking for?

• Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field.
• 2+ years of overall professional experience, including direct experience in Warehouse or 3PL operations.
• Proven track record of tracking and analyzing key supply chain KPIs, including on-time shipping, load quality, and carrier performance.
• Experience with Inventory Governance is preferred.
• Broad knowledge of Logistics, Distribution, and Transportation processes.
• Lean or Six Sigma certification preferred, with demonstrated experience applying continuous improvement methodologies to drive operational efficiency.
• Strong analytical, root-cause analysis, and problem-solving skills with a continuous improvement mindset.
• Willingness and ability to travel regularly between sites in Georgetown, Caledon, and Guelph.

What will be your key responsibilities?

• Performance & Metric Management: Collaborate with the Logistics Manager to develop, implement, and monitor operational metrics and regular performance reporting schedules.
• 3PL Vendor Governance: Manage day-to-day adherence of 3PL providers against contractual Service Level Agreements (SLAs) and operational KPIs.
• Continuous Improvement: Identify, lead, and execute Lean and continuous improvement initiatives directly related to DC operations, dock efficiency, and throughput.
• DQM & Quality Compliance: Ensure 3PL adherence to Royal Canin Distribution Quality Management (DQM) compliance standards; conduct daily, weekly, and monthly on-site compliance audits.
• Audit Preparedness: Coordinate and participate in internal and external Supply Chain audits, risk assessments, and compliance readiness programs.
• Financial Controls & Invoicing: Audit operations invoices against approved contract rate cards and ensure adherence to logistics budget allocations.
• Contingency Planning: Support the maintenance and implementation of contingency and business continuity plans for DC operations during unforeseen interruptions.
• Shipment & Flow Analysis: Track and provide statistical analysis on inbound freight, outbound customer shipments, cross-dock movements, and returns processing.
• SOPs & Training: Develop and maintain Standard Operating Procedures (SOPs), work instructions, and internal controls to standardise operations.
• Cycle Count Governance: Collaborate with the Inventory team to audit 3PL count compliance, reconcile WMS with MS Navision (ERP), and resolve stock discrepancies through targeted root-cause analysis.
• nventory Health & Stock Quality: Support the tracking of inventory health parameters, including slow-moving/obsolete (SLOB) goods, aging batches, quarantine holds, and damaged inventory.
• Traceability & Stock Holds: Assist with executing product holds, lot releases, and mock-recall / traceability reconciliations in coordination with Quality and Supply Chain teams.
