Job summary

Boardwalk is seeking a detail-oriented project administrator to join our in-house design team delivering 15–20 projects a year across Canada. You’ll coordinate approvals, budgets, and documentation to keep projects moving on schedule and on budget.

In this role you’ll liaise with design, operations, and procurement teams, manage multiple projects simultaneously, and help maintain efficient project workflows. A diploma in business administration and strong Excel skills are preferred.

Qualifications

  • 3–5 years of project administration or project coordination experience.
  • Highly organized, detail-oriented, and able to manage multiple priorities.
  • Confident working with budgets, numbers, and financial tracking.
  • Clear communication with technical and non-technical teams.
  • Demonstrate leadership through initiative and accountability.
  • Take ownership of work and look for process improvements.

Responsibilities

  • Coordinate project approvals, including executive sign-off, PO issuance, and contract setup (CCDC).
  • Process contractor and supplier invoices and support financial tracking.
  • Maintain project budgets, forecasts, commitments, contingencies, and cost trackers.
  • Work with design, operations, and project teams to support annual budget planning.
  • Administratively manage multiple projects, tracking progress and resolving issues.
  • Coordinate with procurement and warehousing to ensure on-time materials.
  • Assist in sourcing and onboarding contractors per company policies.
  • Track project data and report to leadership.

At Boardwalk, our in-house design team delivers 15–20 projects a year across Canada. Leasing offices, lobbies, fitness spaces, community rooms, exterior amenity areas — work that gets built and used every day.

The Opportunity

This role is designed for a team-oriented person with project administration experience who will help take ownership of the financial and administrative side of active projects, with opportunities to build leadership exposure through collaboration and involvement in project delivery.

You’ll be responsible for coordinating approvals, tracking budgets, supporting procurement processes, and ensuring project documentation stays organized and updated. You’ll work across teams and regions, helping to keep multiple projects moving forward simultaneously.

What you’ll do
  • Coordinate project approvals, including executive sign-off, PO issuance, and contract setup (CCDC)
  • Process contractor and supplier invoices and support financial tracking
  • Maintain project budgets, forecasts, commitments, contingencies, and cost trackers; identify variances and escape risks proactively
  • Work with design, operations, and project teams to support annual budget planning
  • Administratively manage multiple projects simultaneously, tracking progress and helping resolve issues as they arise
  • Coordinate with procurement and warehousing to ensure materials are ordered and delivered on time
  • Assist in sourcing, qualify, and onboard contractors in alignment with company policies
  • Coordinate project meetings, prepare action logs, track outstanding items, and follow up with stakeholders to maintain momentum
  • Track and analyze project data (costs, timelines, contractor performance) and report to leadership
  • Support rebranding and renovation projects across multiple regions
  • Assist with preparation of specifications, tender documentation, and project packages
  • Support quality assurance reviews and project closeout documentation
  • Maintain and improve project systems, filing structures, workflows, and tracking tools to support efficiency
  • Provide general team support and assist with priority tasks as required
You’ll fit if you
  • Have 3–5 years of project administration or project coordination experience
  • Are highly organized, detail-oriented, adaptable, and comfortable managing multiple priorities in a fast-paced environment

Education
  • Diploma in Business Administration or related field (asset)
Tools
  • Strong working knowledge of Microsoft Office (Excel, Outlook, Word)
  • Advanced Excel skills preferred (budget tracking, reporting, formulas, pivots)
  • Experience with SharePoint / document management systems considered an asset
