Job summary

Universal Ford Lincoln in Calgary, Alberta, part of Kaizen Automotive Group, seeks a Delivery Coordinator for the New Car Department. You will oversee a smooth, customer-focused vehicle delivery process, ensuring proper preparation, documentation, and alignment with OEM and dealership standards.

The role requires strong organization, attention to detail, and the ability to coordinate with Sales, Finance, Service and Inventory teams to deliver on time. A valid driver's license is required.

Qualifications

  • Experience in customer service or dealership operations preferred.
  • Strong communication and interpersonal skills for outstanding customer experiences.
  • Excellent organization and time management.
  • Able to explain vehicle technology and assist with setup.
  • Proficient with dealership management systems (DMS) and CRM.
  • Ability to collaborate with multiple departments.
  • Professional, positive, customer-focused attitude.
  • Valid driver’s license and clean driving record.
  • High school diploma or equivalent.

Responsibilities

  • Coordinate and schedule new vehicle deliveries with customers and the sales team.
  • Prepare vehicles for delivery (PDI, detailing, fueling, and accessory installations).
  • Review delivery documentation for accuracy and OEM/dealership compliance.
  • Provide customers with a thorough vehicle orientation, including feature demonstrations.
  • Ensure delivery spaces and presentation areas meet brand standards.
  • Collaborate with Sales, Finance, Service and Inventory to complete steps on time.
  • Assist with follow-up communications to ensure customer satisfaction.
  • Maintain delivery logs and prepare reports for management.
  • Assist in organizing customer events, new model launches, or related promotions.
  • Support general administrative tasks within the New Car Department.

Overview

Position Summary

The Delivery Coordinator for the New Car Departmentis responsible foroverseeing and executinga smooth, professional, and customer-focusedvehicle delivery experience. This roleensures thatallnew vehicledeliveries are properly prepared, documented, and presented in alignment with OEM and dealership standards. The ideal candidate is organized,detail-oriented,customer centric, and capable of managing multiple tasks in afast-paced environment.

Responsibilities and Qualifications

Key Responsibilities

  • Coordinate and schedule new vehicle deliveries with customers and the sales team.
  • Prepare vehicles for delivery by confirming completion of PDI, detailing, fueling, and accessory installations.
  • Review all delivery documentation to ensure accuracy and compliance with OEM and dealership requirements.
  • Provide customers with a thorough vehicle orientation, including feature demonstrations, technology setup, and owner resource explanations.
  • Ensure delivery spaces and presentation areas are clean, organized, and aligned with dealership brand standards.
  • Collaborate with Sales, Finance, Service, and Inventory teams to ensure all steps of the delivery process are completed on time.
  • Assist with follow‑up communications to ensure customer satisfaction and address any postdelivery questions.
  • Maintain delivery logs, track delivery metrics, and prepare reports for department management.
  • Assist in organizing customer events, new model launches, or delivery related promotions as needed.
  • Support general administrative tasks within the New Car Department to ensure efficient daily operations.
  • Any other duties assigned by leadership.

Qualifications

  • Previous experience in customer service, dealership operations, vehicle delivery, or automotive support preferred.
  • Strong communication and interpersonal skills with the ability to deliver outstanding customer experiences.
  • Excellent organization, time management, and attention to detail.
  • Comfortable explaining vehicle technology and assisting customers with setup and feature instruction.
  • Proficiency with dealership management systems (DMS), CRM platforms, and standard office software.
  • Ability to collaborate effectively with multiple departments.
  • Professional, positive, and customer-focused attitude.
  • Valid driver’s license and clean driving record required.
  • High school diploma or equivalent required.
