Job summary

CAE is seeking a Customer Service Representative to provide front desk and client support in a flight training environment. You will be the first contact for customers, handling registrations, administration, and operational tasks onsite.

This full-time role requires bilingual English/French, 2+ years experience, proficiency with Microsoft Office, and excellent communication. Onsite schedule Thursday to Tuesday, with multi-tasking in a fast-paced setting and opportunities to contribute to

Responsibilities

  • Provide exceptional customer service to internal and external customers.
  • Greet customers and visitors and manage front desk reception activities.
  • Operate and monitor the main telephone switchboard.
  • Manage customer check-in processes and verify required documentation.
  • Review, scan, and maintain regulatory and customer documentation.
  • Prepare, issue, and manage security badges and access credentials.
  • Support customer registrations within the Pelesys learning management system.
  • Verify course enrollments and coordinate with Account Executives to ensure customers are registered in the appropriate training programs.
  • Monitor and action customer inquiries received through the Client Services inbox.
  • Conduct customer outreach and follow-up communications in advance of scheduled training.
  • Process training payments and perform daily monitoring of COD activities.
  • Generate statistical and operational reports as required.
  • Assist with customer lounge services.
  • Support exam invigilation activities as required.
  • Prioritize and coordinate multiple customer requests in a fast-paced environment with frequent interruptions.
  • Work independently while collaborating with internal departments to ensure efficient customer service delivery.
  • Perform other related customer service and administrative duties as assigned.

Description

The Customer Service Representative is responsible for providing professional front desk and client support services within a flight training environment. This role serves as the first point of contact for customers, ensuring a positive client experience while supporting administrative, registration, and operational activities.

This is a full-time, fully onsite position operating on a Thursday to Tuesday schedule.

Key responsibilities include:

  • Provide exceptional customer service to internal and external customers.

Minimum Qualifications

  • Minimum 2 years of work experience
  • CEGEP DEC or equivalent education.
  • Bilingual in English and French, with strong verbal and written communication skills.
  • Intermediate proficiency with Microsoft Office applications, including Excel.
  • Strong attention to detail and accuracy when handling documentation and customer information.
  • Ability to manage multiple priorities and customer interactions simultaneously.
  • Demonstrated organizational skills and ability to work effectively with frequent interruptions.
  • Ability to work independently and exercise sound judgment when prioritizing tasks.
  • Eligibility to obtain and maintain Controlled Goods Program requirements, if applicable.

Preferred Qualifications

  • Minimum 2 years of relevant work experience in customer service, reception, administration, hospitality, or a related field.
  • Administrative or office administration education.
  • Experience working in an aviation, flight training, or aviation operations environment.
  • Additional language skills beyond English and French.
  • Experience in hotel, hospitality, concierge, or high-volume reception environments.
