Job summary

Upper Thames River Conservation Authority (UTRCA) is seeking a Corporate Services Assistant to deliver administrative, financial, and human resources support. This permanent full-time role is based at 1424 Clarke Road, London, with no remote work option.

You will coordinate front desk duties, billing backups, asset management, insurance coordination, procurement, and event logistics, supporting staff across Corporate Services. A strong customer service background and MS 365 skills are essential.

Qualifications

  • 2–3 years of college education in admin or related field.
  • Five years of progressive admin and customer service experience.
  • Experience documenting financial transactions and basic reconciliations.
  • Familiarity with insurance and procurement is an asset.
  • Proficient with MS365 apps (Excel, Teams, SharePoint) or able to learn quickly.
  • Strong customer service, organizational and communication skills.

Responsibilities

  • Act as primary backup for front desk reception, including greeting visitors, inquiries, mail and courier handling, and opening/closing procedures.
  • Support billing and revenue functions as backup to Bills Administrator, including reconciliations, payments, cheque register, and invoice support.
  • Administer staff mobile device program: inventory, distribution, pricing, updates, and billing coordination.
  • Provide administrative support for Corporate Services functions, including asset management and HR.
  • Main contact for certificates of insurance and coordinate annual insurance applications.
  • Assist staff with procurement processes: PO guidance, p-card reconciliation, vendor comms, blanket PO monitoring.
  • Support event planning and logistics, including setup and cleanup activities.
  • Maintain and update Corporate Services resources and learning materials.
  • Perform other related duties and projects as assigned.

Job Status: Permanent Full-Time

Compensation: Grade 6, $33.35 (starting) to $40.58 per hour

Number of Vacancies: 1 existing vacancy

Summary

The Corporate Services Assistant serves as the primary internal point of contact for UTRCA staff regarding administrative, financial, and human resources support functions. This role provides coordination and operational assistance by facilitating communication and ensuring staff have access to the tools, information, and services required to carry out their work effectively.

Responsibilities
  • Act as primary backup for front desk reception, including greeting visitors, responding to inquiries, managing mail and courier services, and supporting opening and closing procedures.
  • Support billing and revenue functions as backup to the Billings Administrator, including financial reconciliations, payment processing, cheque register maintenance, and invoice support.
  • Administer the staff mobile device program, including procedure development, inventory management, device distribution and returns, model and pricing updates, and billing coordination.
  • Provide administrative support for Corporate Services functions, including asset management and Human Resources.
  • Act as the main contact for certificates of insurance and coordinate the Authority’s annual insurance application.
  • Assist staff with procurement processes, including guidance on purchase orders, p‑card reconciliation, vendor communications, and monitoring blanket purchase orders.
  • Support event planning and logistics, including coordination or set up and cleanup activities.
  • Maintain and update Corporate Services resources, including internal learning materials, procedural guides, and website content.
  • Perform other related duties and projects as assigned.
Qualifications
  • Minimum of 2 or 3 years’ college education in administrative support, business, office administration or accounting.
  • Five years’ experience in a progressively responsible administrative and customer service role, including using a range of office equipment and tools.
  • Three years’ experience documenting financial transactions, with general knowledge of reconciliation processes.
  • Familiarity with insurance programs is an asset.
  • Familiarity with procurement practices is an asset.
  • Experience and skill in using various software applications including MS365 (including Excel, Teams, and SharePoint) or the ability to quickly learn comparable systems.
  • Strong customer service skills and the ability to work effectively with members of a team.
  • Strong organizational and communication skills, with the ability to communicate clearly and work respectfully with a variety of people.
  • Ability to manage multiple priorities, work independently when required, and meet deadlines in a fast-paced environment.
Certifications, Memberships, Licenses
  • Valid Ontario Driver’s License
