Job Purpose
Under the supervision of the Real Estate Director, the incumbent will support the director in daily administrative tasks, coordinate schedules and plan visits, ensuring operational efficiency.
Responsibilities
- Manage and ensure availability of retail spaces;
- Coordinate interdepartmental meetings, including preparing agendas and follow-ups;
- Identify and organize leasing opportunities, maintaining updates for monthly meetings;
- Follow up on documents circulating between departments, including financial analyses, plans, leases/amendments, deal sheets, space photos, vacancy rates, etc.;
- Compile and structure data in Excel, keeping files up to date;
- Book flights for Canada and the US for the director;
- Update leases and related documentation;
- Digitize important documents and update lease management system accordingly;
- Manage renewal and non-renewal notices.
Candidate Profile
- Organized and meticulous: effectively manage multiple files with rigorous follow-up;
- Excellent communication and coordination skills: facilitate team collaboration, prepare meetings, liaise with partners including internationally;
- Proficient with Excel, Outlook, and document management systems;
- Autonomous and proactive: take initiatives, exercise good judgment, adapt to changing priorities in real estate.
Requirements
- Diploma in secretarial, legal, finance, real estate, or related field;
- Advanced proficiency in Microsoft Office (Word, Excel, Outlook);
- Bilingualism in French and English, spoken and written (interacting with external contacts outside Canada);
- Excellent organizational and planning skills;
- Autonomy, initiative, good judgment, resourcefulness;
- Knowledge of leases (an asset);
- Strong interest in real estate and/or retail;
- Excellent communication skills;
- Ability to handle stress and adapt to changing priorities;
- High attention to detail;
- Proactivity and initiative-taking skills.
This is a permanent, full-time position.
