Job summary

Qualifications

  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with CRM, fundraising, and marketing platforms is an asset.

  • Coordinate event logistics, including the sourcing and distribution of signage, promotional items, event supplies, incentive prizing, and site materials.
  • Build and maintain positive relationships with vendors, suppliers, internal teams, and external stakeholders, helping ensure needs are met and event priorities remain on track.
  • Provide onsite event support, including occasional evening, weekend, and local travel requirements.

The opportunity

Kids Help Phone Foundation is seeking a Coordinator, Signature Events & Partnership Experience to help inspire generosity and raise funds across Canada to deliver on KHP’s promise to youth.

Reporting to the Manager, Signature Events & Partnerships, the Coordinator supports the successful planning and execution of Kids Help Phone’s events and national fundraising initiatives through strong project coordination, stakeholder engagement and operational support.

The coordinator provides day-to-day support across fundraising, donor and sponsor stewardship, volunteer coordination, participant experience and stakeholder communications, helping to strengthen revenue generation, engagement and retention for BMO Walk so Kids Can Talk and other KHP events.

Working collaboratively across teams and with external partners, the coordinator helps coordinate timelines, deliverables and event-related workflows, ensuring details are effectively completed and stakeholders are well supported. Through strong organization, communication and attention to detail, the coordinator contributes to the consistent and seamless delivery of high-quality fundraising and event experiences. The responsibilities

Event Coordination & Execution:

  • Support the planning and execution of BMO Walk so Kids Can Talk by supporting the team in the completion of event activities, logistics, stewardship initiatives, volunteer engagement, and administrative processes
  • Coordinate project workflows by maintaining planning documents, timelines, tracking tools, and event resources, while supporting follow-up on key action items and deliverables.
  • Coordinate event logistics, including the sourcing and distribution of signage, promotional items, event supplies, incentive prizing, and site materials.
  • Build and maintain positive relationships with vendors, suppliers, internal teams, and external stakeholders, helping ensure needs are met and event priorities remain on track.
  • Provide onsite event support, including occasional evening, weekend, and local travel requirements.

Volunteer, Participant & Donor Engagement:

  • Support volunteer recruitment, onboarding, scheduling, training, and communications, helping volunteers effectively contribute to the success of BMO Walk so Kids Can Talk.
  • Contribute to positive participant, donor, sponsor, and volunteer experiences by providing timely, professional support and responding to inquiries through assigned channels.
  • Support stewardship and event communications by coordinating materials, resources, and updates that strengthen engagement and demonstrate the impact of support for Kids Help Phone.

Administration, Reporting & Data Management:

  • Provide administrative and coordination support through the preparation of invoices, forms, reports, meeting materials, tracking documents, and other event-related resources.
  • Support post-event activities, including site close-out, reporting, reconciliation, and the distribution of incentive prizing.
  • Support internal department communications, including drafting or coordinating announcements, updates, meeting materials, and other communications that keep the team aligned and informed.
  • Maintain accurate records in Raiser's Edge and other fundraising platforms, ensuring data integrity and timely documentation of donor, volunteer, sponsor, and event activities.
  • Support event reporting, tracking, and information management by coordinating inputs, maintaining records, and preparing materials that help measure performance and inform decision-making.
  • Monitor and respond to donor inquiries through shared inboxes and other assigned channels, providing timely, professional, and donor-centered support while triaging more complex matters to appropriate team member.
  • Provide ad hoc support to the Events team
The qualifications
  • 1-3 years of experience in event coordination, fundraising, volunteer engagement, administration, or a related field.
  • Post-secondary education in event management, communications, business, nonprofit management, or an equivalent combination of education and experience.
  • Experience supporting events, fundraising initiatives, volunteer programs, or stakeholder engagement activities.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with CRM, fundraising, and marketing platforms is an asset.
  • Comfortable using AI tools and technology to improve efficiency and support team success.
  • Strong organizational, administrative, and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills, with a professional and customer-focused approach.
  • Demonstrated discretion, sound judgment, attention to detail, and ability to handle confidential information.
  • Self-motivated team player with strong initiative, adaptability, and problem-solving skills.
  • Bilingualism (French/English) and a valid driver's license are assets.
  • Ability to work occasionally in the evenings and weekends and travel locally as required.
