Job summary

CNIB is seeking a Coordinator, Operations and Relocation to support a major warehouse and production move across SmartLife and Beyond Print. This on-site role requires hands-on logistics, labeling, packing, inventory control and coordination with multiple departments.

The position involves post-move follow-up, setup of new spaces, and ensuring confidential records and inventory are accurately managed throughout the relocation process. Strong organization and communication are essential.

Qualifications

  • Secondary school diploma or equivalent.
  • Experience in warehouse operations, production support or logistics.
  • Experience handling confidential records or sensitive information.
  • On-site role requiring coordination across warehouse, production and office spaces.
  • Ability to stand, walk, bend and move boxes and supplies as part of relocation tasks.

Responsibilities

  • Provide operational support to CNIB staff and departments during move activities.

Position Title: Coordinator,Operations & Relocation

Full Time, Contract

Reports To: Manager, Business Transformation Operations

I. Scope and Summary of Primary Responsibilities

The Coordinator, Operations and Relocation provides flexible, hands-on support during the Smartlife warehouse and Beyond Print production move. The position helps maintain day-to-day service by completing routine operational, production-support and administrative tasks..

The role works across move-related work areas as priorities change. Responsibilities include move preparation, packing and labelling, inventory and records support, basic administrative support, setup of the new spaces, and follow-up after relocation.

II. Essential Functions

The position entails, but is not limited to, the following general responsibilities:

  • Provide operational support to SmartLife, Beyond Print, and other departments staff as needed to ensure the effective delivery of services and day-to-day operations.
  • Maintain accurate inventories, move lists, status trackers and file-location records for stock, supplies, furniture, equipment, completed tasks, outstanding issues and items requiring management review.Sort, label, pack, seal and stage items using approved room, department, contents, priority and destination labels.
  • Help staff organize historical files and materials by preparing boxes, labels, file lists and temporary work areas; scan, copy, rename or refile documents when directed.
  • Protect confidential, client, financial and production records throughout handling and transport, and immediately flag records that require secure storage, retention review or approved destruction.
  • Identify damaged, duplicate, obsolete or unidentified items for staff review; do not independently discard records, equipment, stock or production masters.
  • Coordinate the movement of packed items within the site and support movers.
  • Assist with unpacking, shelving, organizing supplies, arranging work areas, reconnecting non-technical equipment and confirming that required materials are available in the new spaces.
  • Support post-move follow-up by locating missing items, correcting labels, updating inventories, organizing supplies and reporting damaged equipment, stock or files . .
III. Qualifications
Knowledge and Skill Requirements
  • Strong organization and attention to detail, with the ability to label, track, locate and reconcile a high volume of files, materials, stock and equipment.
  • Ability to shift between warehouse, production-support, administrative and move-related tasks while maintaining accuracy and meeting daily priorities.
  • Basic computer skills, including email, shared documents, spreadsheets, data entry and electronic tracking systems.
  • Clear verbal and written communication skills and the ability to work cooperatively with staff, vendors and service providers.
  • Sound judgment regarding privacy, confidentiality, records handling, inventory control and escalation of risks or exceptions.
  • Ability to follow written procedures, checklists, production instructions, packing plans and health-and-safety requirements.
  • Commitment to accessibility, inclusion, respectful service and creating organized workspaces that can be used safely by employees with diverse access needs.
  • Familiarity with warehouse, shipping, production, records-management or move-coordination practices is an asset.
Experience and Education
  • Secondary school diploma or equivalent experience.
  • Previous experience in warehouse operations, production support, logistics, office administration, records organization, facilities moves or a comparable role is preferred.
  • Experience working in an environment with confidential records, inventory, production deadlines or client-service responsibilities is an asset.
  • Training or experience related to accessibility, inclusive service, safe material handling, workplace safety or inventory systems is an asset. Any required equipment certification must be completed before operating that equipment.
  • This is primarily an on-site role that works between warehouse, production, storage and office environments at current and new locations.
  • Work may involve extended periods of standing or walking, frequent bending and reaching, packing and unpacking, and safely moving boxes, stock, supplies or equipment using appropriate tools or assistance.
  • Conditions may include moderate noise, dust, changing work areas and temporary disruption during move activities.
  • The employee must follow all safety, accessibility, security and confidentiality requirements and advise a manager when additional equipment, assistance or an accommodation may be needed to complete work safely.
