Job summary

Tokyo Smoke is seeking a coordinated HR professional to support retail operations for its Canadian stores. You will assist with recruitment, onboarding, payroll, performance management, and HR administration under the Vice President, Human Resources.

You will partner with Operations on store openings, support franchise owners, maintain confidential records and HRIS updates, and help drive HR initiatives and compliance with employment legislation.

Qualifications

  • Bachelor’s degree or diploma in HR, business, or related field.
  • 1–2 years of HR experience.
  • CPHR designation asset.
  • Experience with HRIS Dayforce or UKG is a strong asset.
  • Advanced Microsoft Excel skills.
  • Ability to handle confidential information.
  • Knowledge of Ontario employment legislation and HR codes.
  • Experience with part-time and full-time employees in retail.

Responsibilities

  • Coordinate recruitment for full-time and casual roles including postings, screening, interviews and contracts.
  • Support staffing for new store openings with Operations.
  • Provide HR support to franchise owners as needed.
  • Manage onboarding for new hires and transfers.
  • Assist with payroll requests and HR administration.
  • Maintain confidential employee records and HRIS updates.
  • Track HR metrics like recruitment, leaves, and terminations.
  • Collaborate with leaders to identify HR solutions and enable data-driven decisions.
  • Ensure compliance with federal/provincial employment laws and policies.
  • Support HR initiatives and process improvements.
  • Research HR best practices and share recommendations.
  • Stay aware of evolving HR trends to support org objectives.
  • Provide admin support across HR areas.

The group operates over 50 locations across Ontario, Manitoba, Saskatchewan and Newfoundland and Labrador through its various retail programs.

About the Role:

Reporting to the Vice President, Human Resources, the Coordinator, Human Resources is responsible for supporting the Tokyo Smoke retail operations HR team with employee relations, recruitment, onboarding, performance management, payroll, professional development, and day-to-day HR administrative tasks.

Your Focus in this Role:
  • Coordinate/support the recruitment process for selected positions, both full-time and casual, including job postings, candidate screening, booking interviews, employment contracts, pre-employment requirements, follow-ups, and reporting.
  • Partner with Operations to support staffing and HR requirements associated with new store openings.
  • Provide recruitment and HR support to franchise owners as required.
  • Responsible for tracking and executing new hire processes as they relate to onboarding documentation.
  • Provide onboarding assistance for new hires, transfers, and promotions, including orientation, training, and HR information sessions.
  • Support day-to-day human resources administration and payroll requests.
  • Maintain accurate and confidential employee records and documentation, including HRIS updates.
  • Responsible for maintaining related HR metrics, including recruitment, terminations, leaves of absence, and other HR reporting as required.
  • Collaborate proactively with business leaders and the Human Resources team to identify solutions to key issues and support business needs.
  • Leverage relevant HR information and data to support effective decision-making and HR-related solutions.
  • Support compliance with applicable federal and provincial employment legislation, company policies, and AGCO requirements.
  • Support HR initiatives, projects, professional development, and process improvements as required.
  • Research HR best practices and provide information and recommendations as directed.
  • Maintain awareness of emerging HR trends, legislation, and best practices to support organizational objectives.
  • Provide administrative support in all human resources areas to the Human Resources team as assigned.

Education, Experience and Skills:
  • Bachelor’s Degree or Diploma in Human Resources, Business or related fields from an accredited institution
  • 1 to 2 years of experience in Human Resources
  • CPHR Designation or currently in the process of obtaining CPHR designation will be considered an asset
  • Experience utilizing HRIS system (Dayforce and/or UKG) will be considered a strong asset
  • Advanced skills in Microsoft Excel
  • Demonstrated ability to handle confidential information
  • Solid understanding of applicable employment and human rights legislation (e.g. Employment Standards Act, Labour Relations Act, Occupational Health & Safety Act, Accessibility for Ontarians with Disabilities Act, and the Human Rights Code)
  • Demonstrate a working understanding of unionized environments
  • Experience and understanding of confidential information handling and storage
  • Experience with part-time and full-time employees in a retail or comparable environment
