Overview

Contract Administrator-ADM025641 Employment Type: Permanent Full-time

Location(s): SK-Stoon-Saskatoon

Ministry: 013 SaskBuilds and Procurement

Salary Range: $26.00-$32.58 hourly | Grade: SGEU.06

The Ministry of SaskBuilds and Procurement (SBP) is looking for a thorough Contract Administrator to work with the Strategic Operations contract area team. This position serves as an advisor to executive directors, directors, building managers, operators, and admin staff within the Operations and Service Delivery (OSD) division on changes to contracts and payments for each contract's work to ensure that values are consistent with contracts, including the value of work completed by the supplier.

Responsibilities
  • Setting up various types of Ministry contracts as well as auditing contracts and processing invoices
  • Ensuring that invoices and contracts are verified and processed daily following acts, regulations, policies and procedures
  • Reconciling Purchase Card expenditures
  • Identifying accounting errors, preparing amendments, and updating contract spreadsheets
  • Ensuring the Ministry's signing authority is enforced and all that is critical to preventing fraudulent transactions for the Ministry
  • Providing direction to employees concerning government/ministry policy and procedures (e.g., acquisition of goods and services)
  • Providing information to clients concerning the status of their payments and government payment policies; resolving complaints and/or disagreements that may arise
  • Attending tender openings, taking notes, providing cost and proposal analysis as required, and ensuring that Priority Saskatchewan compliance is maintained
  • Composing, formatting, designing, typing, editing and proofreading documents (contracts, invoices, tender letters) by employing the knowledge and applications of computer software within the desired time frame and within the guidelines of department policy
  • ARMS/ORS Records Management filing systems for electronic and paper filing; maintaining archive filing and completing disposal/archive transfer sheets and other appropriate documentation as required
  • Performing general office duties, including working on spreadsheets
Qualifications

The successful candidate will possess knowledge of accounting principles and procedures relating to contracts and reconciling accounts, be organized, and demonstrate flexibility in prioritizing tasks to fulfill the above duties accurately and within-firm deadlines. Knowledge of Adobe and MIDAS financials would be considered an asset.
