Job summary

College of New Caledonia seeks a Continuing Education Coordinator to implement and evaluate CE programs and provide day-to-day support for programming across the CNC region. Qualifications

  • Recognized two (2) year diploma in project, office, or business management or other relevant related field of study
  • 2 years or more of relevant work experience; or equivalent combination of education and experience may be considered
  • Demonstrated knowledge of Adult Education teaching and learning philosophy
  • Experience collecting and analyzing labour market data preferred
  • Demonstrated research skills
  • Excellent interpersonal skills, including superior listening skills and the ability to interpret and pass on detailed information accurately
  • Excellent organizational skills
  • Demonstrated process improvement experience
  • Strong skills in working with routine and non-routine office procedures and systems
  • Ability to work independently, and to communicate daily activities and changes effectively to a working team
  • Ability to maintain confidentiality
  • Previous knowledge and experience with the WorksafeBC regulations regarding course requirements and instructor certification is an asset
  • Proven ability to work with a very demanding workload, changing priorities and continuous interruptions, and to co-ordinate activities within the work of the unit
  • Strong computer skills with Microsoft Suite Products
  • Ability to exercise sound judgment in problem solving
  • Must be able to work outside of regular business hours

Responsibilities

  • Plan, implement, and evaluate existing Continuing Education courses and programs
  • Develop and manage course budgets
  • Arrange materials, facilities and equipment for courses and events
  • Prepare programming timetables
  • Open and close courses with Registrar; monitor enrolment and advise management
  • Liaise with communities, organizations and industry partners
  • Ensure course paperwork and instructor files comply with CNC agreements
  • Support proposal development for CE projects
  • Respond to and evaluate community education requests
  • Provide training quotes and prepare Course Purchase Agreements
  • Monitor programming spending within budget
  • Recruit, hire and orient CE course instructors
  • Schedule approved instructors
  • Prepare and maintain Agreements to Teach and Contract Development Worksheets
  • Collaborate with Marketing on promotional strategies
  • Communicate course information to instructors and staff
  • Coordinate recruitment activities and information events
  • Support student admissions activities such as interviews
  • Serve as first point of contact to students and triage concerns
  • Provide course information to the public and respond to inquiries
  • Administer course evaluations and prepare recommendations
  • Assist with delivery of programming from other Schools
  • Perform general office duties and maintain records
  • Document administrative processes and suggest improvements
  • Open/close classrooms as needed (weekends/evenings)
  • Provide back-up coverage for other admin positions
  • Contribute to CNC vision, mission and goals
  • Promote a positive work atmosphere and professional communication
  • Other related duties as assigned

Job Summary

Reporting to the Manager, Continuing Education, and where applicable, with day-to-day supervision from local campus manager. In close collaboration with CE Coordinator(s), this position is responsible for the implementation and evaluation of existing CE programs and courses and day-to-day support for the successful delivery of programming that serves the college region. This position mainly provides support to Continuing Education but may also support program delivery from other schools at the community campuses, as required.

Specific Duties
  • Responsible for the planning, implementation, and evaluation of existing Continuing Education courses and programs on assigned campus and will support the implementation of new CE courses and programs in conjunction with the CE Coordinator.
  • Develop and manage course budgets as required.
  • Assess and implement logistical /administrative requirements for course and events; this may include but not limited to ordering and/or preparing materials and supplies, facility booking, arranging equipment, etc.
  • Prepare programming timetables.
  • In collaboration with the Office of the Registrar, open and close courses/programs, as required. Monitor enrolment and provide updates and recommendations to management.
  • Liaise with communities, organizations and industry partners, as well as key regional contacts to assess community demand/needs for programming.
  • Ensure course paperwork is complete and both course and instructor files are maintained in accordance with the CNC license holder agreement with the CNC license holder agreement.
  • Support CE Coordinator with proposal development as assigned.
  • Respond to, analyze, and evaluate community education and training requests on an ongoing basis.
  • Provide quotes for training to outside agencies and industry; and prepare Course Purchase Agreements, as required. May participate in negotiations as required.
  • Assist in monitor programming spending ensuring it is within approved budget allocation, and processing course expenditures.
  • Assist with the recruitment, hiring and orientation of CE course instructors.
  • Engage and schedule approved instructors, as required.
  • Prepare and maintain records for Agreements to Teach and Contract Development Worksheets.
  • Collaborate with Marketing on the development of promotional strategies and materials.
  • Communicate with instructors and staff regarding course information, problem solving routine and non-routine administrative matters.
  • Coordinate plans and logistics for and participate in recruitment activities and information events.
  • Support the coordination of student admission activities, such as set up of interviews, etc. as required.
  • Provide first point of contact to students and triage concerns.
  • Provide course information to the public and responds to inquiries.
  • Administer course evaluations and compiles feedback. Documents and prepares recommendations on behalf of students, faculty and administrative team regarding programming.
  • Assists with the implementation in the delivery of programming from other Schools on assigned community campus, as required.
  • Performs general office duties such as word processing, data entry and maintain records, compiling reports, preparation of agenda and minutes, etc. as required.
  • Develops, documents, maintains and shares administrative processes that are in alignment with College policies and processes; and provides recommendations for process improvements when required.
  • Open and close classrooms when required (weekends and evenings).
  • Provide back-up coverage for other administrative positions, as needed.
