Qualifications

  • Bachelor’s degree in mechanical engineering or related field.
  • Professional Engineer (P.Eng.) membership.
  • 5+ years of bid or proposal management experience.
  • Strong understanding of mechanical systems and building services.
  • Excellent project management, communication, and negotiation skills.

Responsibilities

  • Receives and evaluates RFQs to determine profit potential, risks and recommends go/no-go decision.
  • Review technical specifications, drawings, and contractual terms to ensure compliance.
  • Develop and prepare the quotations with the support of the different team members when required.
  • Ensure compliance and full development of proposal in accordance with the guidance of the quote proposal process.

We are looking for a proactive and results-driven Conceptual Design & Project Manager to oversee the end-to-end bidding process for HVAC system projects. You’ll collaborate with cross-functional teams to develop winning proposals, ensure compliance, and maximize project profitability. If you're passionate about technical excellence and strategic communication, this role is made for you.

The Conceptual Design & Project Manager must therefore look to streamline the bidding process, develop tools and methodologies that save time and reduce errors and rework. He/she is also a good communicator ensuring open dialogue with the Engineering and Business Development teams and once a project is won, ensures that a thorough knowledge transfer between Conceptual Designer and the Project Team occurs to assist the team in understanding the design and equipment that was sold. This role also follows the Engineers assigned to projects that are won to ensure that the project deliverables and the complete designs are anchored in sound engineering principles.

Responsibilities

Quotations & Engineering Management and Direction:

  • Receives and evaluates RFQs to determine profit potential, risks and recommends go/no-go decision.
  • Review technical specifications, drawings, and contractual terms to ensure compliance.
  • Develop and prepare the quotations with the support of the different team members when required.
  • Ensure compliance and full development of proposal in accordance with the guidance of the quote proposal process.
  • Maintain and develop relationships with preferred vendors and identify new sources of supply to increase competitiveness while maintaining compliance.
  • Coordinates the technical activities for the quotation/projects and ensures that the bid design and materials meet the RFQ/contract requirements.
  • Review bid terms and conditions and recommend changes when needed.
  • From time to time, lead projects that require little to no team support.
  • Transfer the bid knowledge and proposal (technical and commercial) to the project team when required.
  • Conduct risk assessments and present solutions to mitigate bid-related challenges.
  • As a "working manager" is required to prepare bids especially in more complex ships.
  • Coordinate with the CRM responsible that all quotes issued have been entered into the CRM.
  • Coordinate the quote production efforts with the other team members that are also producing quotes

Standardization and Streamlining:

  • Lead the development and maintenance of processes, procedures, standards and templates for the Conceptual Design team
  • Oversee and manage the CRM system, ensuring data accuracy, workflow automation, and user adoption.
  • Analyze CRM data to track pipeline performance, generate insights, and support strategic decisions.

What sets you apart?

  • Bachelor’s degree in mechanical engineering or related field
  • Member of a Professional Engineering Association
  • 5+ years of experience in bid or proposal management within the construction or HVAC industry
  • Strong understanding of mechanical systems and building services
