Position Summary
The Compliance Specialist will ensure that the Company remains fully compliant with all applicable licensing, regulatory, insurance, and insurance program requirements. The Compliance Specialist will build organized systems, track deadlines, manage credentialing portals, and ensure SRS never loses access to insurance programs or falls out of regulatory compliance. The role focuses on two primary areas of compliance:
- Regulatory & Licensing Compliance. The Compliance Specialist will manage all federal, state, and municipal filings, including contractor’s licenses, business licenses, tax registrations, renewals, DBA filings, and the like for numerous distinct legal entities that operate branches across the United States.
- Insurance TPA Credentialing. The Compliance Specialist will ensure that SRS remains in compliance with all requirements imposed by insurance third‑party administrators ("TPAs") – i.e., companies that administer managed repair programs on behalf of major insurance carriers. These TPAs manage (a) contractor credentialing; (b) insurance requirements; (c) background checks; (d) service standards; (e) annual audits of contractor credentials; and (f) storing of all compliance documentation required to participate in insurance-sponsored repair programs.
Responsibilities
- Regulatory & Licensing Compliance (Multi‑State, Multi‑Entity)
- Contractor Licensing: Prepare and file all contractor license applications and renewals; manage bonding and qualifier (individual license holder) registrations; monitor deadlines to ensure uninterrupted licensure.
- Municipal Licensing & Permitting: Oversee municipal business licenses and job‑specific permits, including initial filings, renewals, and ongoing compliance tracking.
- Tax Registrations: Maintain all tax‑related licenses and accounts (e.g., state sales/use tax, municipal business tax receipts, franchise tax accounts, privilege taxes), ensuring all registrations remain active and compliant.
- Renewal & Compliance Tracking: Maintain a centralized calendar of renewal dates, fees, responsible officers, and filing requirements across all jurisdictions. Partner with applicable departments (e.g., Accounting department for sales/use tax) to ensure periodic reports are filed on a timely basis.
- Entity Good Standing: Ensure all corporate entities remain in good standing with state agencies, including required annual reports and statutory filings.
- Regulatory Communication: Serve as the primary point of contact with state boards, municipal agencies, licensing authorities, and secretary of state offices.
- Insurance TPA Credentialing & Program Compliance
- Maintain all documentation required for TPA credentialing, including branch and employee information, current W‑9s, insurance certificates and endorsements (additional insured, waiver of subrogation), background check and drug screen results, IICRC certifications, and all annual documentation updates.
- Monitor and track expirations for all required licenses, certifications, and compliance documents to ensure uninterrupted TPA eligibility.
- Serve as the primary liaison to TPAs for all training‑related matters, including onboarding for new programs, annual training requirements, and any training initiated due to performance issues.
- Manage TPA portals and annual re‑credentialing cycles, ensuring timely and accurate updates.
- At the direction of leadership, identify and pursue opportunities for new TPA program participation to expand revenue channels.
- Internal Compliance Infrastructure
- Develop and maintain standardized compliance workflows and operating systems to support consistent, repeatable processes across all business units.
- Administer the centralized compliance environment in SharePoint, including the company‑wide document library and master compliance tracker.
- Coordinate compliance activities across multiple entities, branches, and ownership structures, ensuring accurate alignment of obligations and filings.
- Prepare regular compliance reports and status updates for leadership, identifying risks, upcoming deadlines, and required actions.
Skills/Qualifications
Required Qualifications
- 2–5+ years of experience in licensing, credentialing, regulatory compliance, or a similar function.
- Demonstrated experience with multi‑state filings and managing compliance across multi‑entity corporate structures.
- Exceptional attention to detail with the ability to manage numerous deadlines simultaneously.
- Strong proficiency in Microsoft Office (Word, Excel, Outlook) and comfort navigating online portals and document‑management systems.
- Clear and professional verbal and written communication skills, including the ability to interact with state agencies, TPAs, and internal leadership.
- Highly organized, with the ability to prioritize, problem‑solve, and maintain accuracy in a fast‑paced environment.
- Calm, reliable, and deadline‑driven, with the ability to maintain focus under pressure.
- Dependable and punctual, with a high level of personal accountability and work ethic.
Preferred Qualifications
- Experience in restoration, construction, insurance, or healthcare credentialing environments.
- Familiarity with IICRC certifications, restoration industry standards, and TPA credentialing requirements.
- Experience managing state contractor licensing workflows, including qualifier filings and/or bonding requirements.
- Proficiency with SharePoint or similar document‑management and compliance tracking systems.
Education
Bachelor’s degree preferred (Business, Legal Studies, Public Administration, Risk Management, or a related field), or equivalent professional experience managing multi‑state licensing, regulatory filings, or TPA credentialing in a complex organizational environment.
This role is performed in a fully remote work environment using standard computer and communication equipment. The employee is expected to maintain a dedicated workspace suitable for performing job duties.
Physical Demands
This position operates in a professional office environment and routinely uses standard office equipment such as computers, keyboards, telephones, and copy/scanning machines. The role requires the ability to sit for extended periods, move about the office, and occasionally lift or carry small items (such as files, parcels, or office supplies).
