Communications and Admin Coordinator (Part-Time)

The Communications & Admin Coordinator plays a key role in executing campaigns, communicating with supporters, and keeping our systems organized and up to date. You’ll support the growth of our donor community, amplify our story, and help ensure smooth behind-the-scenes operations.

You’ll also support the daily operations of Promise Vancouver through administration, bookkeeping, and coordination. This position helps ensure our programs run smoothly by managing financial records, assisting the Executive Director and Board, responding to inquiries, and supporting program logistics. Qualified candidates are detail-oriented, trustworthy, and aligned with our mission to help children and teens in Vancouver’s Downtown Eastside know they are valuable and loved.

The starting wage for this position is $24-$26 per hour. This is a permanent, part-time (20 to 24 hours per week) position, reporting to the Marketing & Communications Manager.

Note: This role is a combination of Operations and Admin Coordinator (Part-Time) and Development and Communications Coordinator (Part-Time)

About Promise

Promise Vancouver is a charitable organization operating in Vancouver’s Downtown Eastside. While all of our programming is secular and designed to be inclusive to any child and teen, our mission is rooted in the Christian faith, especially its teachings about the inherent value of every person.

Key Responsibilities (Development & Communications)

  • Develop, write, and distribute regular email newsletters to supporters and stakeholders
  • Assist in the creation and execution of minor and major fundraising campaigns
  • Maintain and update website content to ensure accuracy and engagement
  • Collaborate with program staff to ensure a cohesive and consistent social media presence
  • Lead recruitment and engagement efforts for Eastside 10K runners and other participant-driven initiatives
  • Coordinate logistics and communications for fundraising events
  • Draft and assist in the preparation of foundation and government grant applications
  • Process and track tax receipts and donor acknowledgments

3. Admin & Data Management

  • Perform donor database maintenance, including data cleaning and updates
  • Collaborate with staff to keep records up to date and accurate

Key Responsibilities (Operations & Admin)

1. Administration & Coordination

  • Monitor and respond to inquiries from our general inbox
  • Configure and maintain program registration forms
  • Administration and renewal of annual insurance review
  • Coordinate volunteer service days with groups
  • Process receipts, invoices, reimbursements, cheques, and payroll
  • Perform monthly account and payroll reconciliations
  • Manage recurring payments, subscriptions, and memberships
  • Prepare monthly financial reports and support year-end Review Engagement
  • Log donations and maintain donor and financial records in our CRM (Salesforce) and payment processor (Stripe)

3. Executive & Board Support

  • Provide administrative support to the Executive Director
  • Serve as secretary for Director meetings, manage board filings and fiduciary records
  • Support with board communications, logistics, and document management

4. Program & Facilities Support

  • Occasionally support childcare programs as a second adult on shift
  • Coordinate basic facility logistics (e.g., waste pick-up)

Qualifications

You are:

  • Excellent written communication and organizational skills
  • Discreet and trustworthy with sensitive information
  • A keen eye for detail, with experience in editing, formatting, and data entry
  • Highly organized, detail-oriented, and able to manage multiple projects simultaneously
  • Experience with email marketing platforms, donor management systems, and basic website CMS tools
  • Understanding of fundraising principles and best practices
  • Comfortable with numbers, details, and digital systems
  • Proactive, adaptable, and a natural problem solver
  • Ability to work both independently and collaboratively in a team environment
  • Ability to pass a CRRP (vulnerable sector) criminal record check
  • Alignment with and passion for the mission and values of Promise Vancouver

Bonus points if you have…

  • A post-secondary diploma or degree, preferably in Communications, Marketing, Business, or a related field (or equivalent experience)
  • Experience with nonprofit bookkeeping or donor management
  • Experience supporting an Executive Director or Board
  • Experience in the Downtown Eastside or similar communities
  • Familiarity with platforms like QuickBooks, Salesforce, Google Sheets, Mailchimp, WordPress, Plooto, Asana, and Cognito Forms
